The Leave of Absence Specialist is responsible for the administration of the company’s U.S. disability program and leaves of absence in a shared services environment. In this role you will respond to employee inquiries and questions regarding leaves of absence, execute LOA processes and services, manage leave data in HR systems, advise HRBP’s and employees and identify problems and solutions to ensure positive experiences. This position reports to the Manager, HR Shared Services.

The Leave of Absence Specialist is responsible for the administration of the company’s U.S. disability program and leaves of absence in a shared services environment. In this role you will respond to employee inquiries and questions regarding leaves of absence, execute LOA processes and services, manage leave data in HR systems, advise HRBP’s and employees and identify problems and solutions to ensure positive experiences. This position reports to the Manager, HR Shared Services.
Essential Duties & Responsibilities:
- Administers the company’s disability and leaves of absence across all North America divisions and ensures quality vendor service management through our external leave administrator.
- Maintains detailed knowledge of disability programs and leaves of absence and answers employee inquiries pertaining to programs, processes, procedures and communications. Ensuring the employee experience is always kept in mind.
- Ensures consistency in the application of leave policies including company compliance with federal and state laws (e.g., FMLA, Sick Leave, State Disability, etc.)
- Collaborates with other key stakeholders regarding vendor escalations, complex case review, analysis and resolution and provides timely, courteous and accurate support in resolution of questions.
- Works with HRBP and Manager along with Legal support on cases related to ADA requests.
- Collaborates with payroll to ensure accurate payments identifying any over/under payments for salaried workforce. Works with external vendor on all hourly related payment issues.
- Ensures correct leave time is entered within Workday/ADP systems for salaried workforce by correcting, and editing as required.
- Serves as a resource person for managers and employees on LOA, FMLA and ADA issues.
- Acts as a liaison between Employee Health & Risk Management concerning FMLA and medical leave of absences including potential ADA issues or accommodations.
- Additionally, this position will work within the HR shared services environment which may include other duties outside of leave of absence.
- Associate’s degree in business administration, Human Resources or related field required. Bachelor’s degree preferred
- Minimum three years of relevant experience
- Knowledge of state leave of absence laws.
- HRIS experience with Workday and ADP preferred.
- Intermediate knowledge of Excel, including V-Lookups
- Excellent communication skills, both written and oral
- Must be able to handle sensitive and confidential information
- Strong customer service orientation with ability to work effectively in a team environment
- Strong organizational skills with the ability to handle multiple projects simultaneously while maintaining attention to detail
