Summary

Responsible for providing efficient and timely box or file retrievals for delivery to customers and for the re-files of records returned to the Records Center. Assists in delivery and pick up services if customer requests warrant additional manpower.

Essential Duties And Responsibilities

  • Accesses, compiles, gathers and issues requested records and user information.
  • Maintains the accuracy of the charge-out system.
  • Oversees transfers, processing and storage of records for semi-active storage.
  • Assists in training and cross-training of new employees and other personnel.
  • Maintains and secures records in accordance with established procedures in the facilities.
  • Sorts and classifies material for filing and storage.
  • Prepares personal activity report on a daily basis.
  • Provides status of information for accurate retrieval through the use of logs and indexes. Performs data entry of County records involving the Enterprise Content Management (ECM) system.
  • Ensures all records and content, both physical and electronic, are in compliance with federal guidelines such as HIPAA and CJIS.
  • Implements quality control procedures to ensure integrity of documents, electronic images, record metadata and box content.
  • Reviews and analyzes documents and enters descriptive information and other metadata into ECM system.
  • Serves in the role of RMS Technical Specialist in their absence.
  • Retrieves and delivers files and/or boxes per customer requests that may weigh up to 50 pounds.
  • Re-files folders and/or boxes.
  • Operates self-propelled elevating work platform including maintenance of platform vehicle.
  • Assists in the maintenance of the Records Center and assigned vehicles.
  • Performs other related duties as required.

Minimum Requirements

High school diploma or equivalent Three (3) full-time years of clerical, inventory, recordkeeping, or related experience.

Must have a valid and current driver's license.

Must have good understanding of personal computers and ability to operate standard office equipment.

Must have knowledge of or the ability to learn how to operate the self-propelled elevating work platform and be willing to become certified.

Must be willing to learn the records management discipline and local government statutes for records including lifecycle of records and retention scheduling.

If hired, must provide proof of educational attainment at new hire processing.

Tarrant County will conduct background checks on new hires that will include a criminal background check related to convictions and deferred adjudications since the age of 17 and may include credit reports, motor vehicle records, employment records, and educational attainment. A conviction or deferred adjudication is not an automatic bar to employment. Each case is considered individually. Incumbent must hold a valid Driver's License or State Issued ID card.

Physical Demands And Work Environment & Other Requirements

While performing the duties of this position, the incumbent is regularly required to bend, carry, climb, climb ladders, negotiate electrical hazards, grasp/squeeze, use hand tools, use hazardous machinery, hear, keyboard, kneel, lift below the waist, lift between waist and shoulder, lift overhead, lift to the side/twist, tolerate noise, tolerate hot and cold outside temperatures, pull, push, reach, reach overhead, see near, sit, stand, stoop, talk, twist, use his/her hands, drive a vehicle, walk, work at heights, and work alone and with others.
