The Sr W R Coordinator is responsible for ensuring seamless day-to-day operations by scheduling, facilitating, and monitoring wellness program initiatives that enhance employee health and well-being within the assigned site/s. This role supports the development of a healthy workplace culture by coordinating programs, events, and resources designed to reduce stress, improve physical and mental health, and foster a supportive, productive work environment. Responsibilities include:
- Wellness Programming Schedules, coordinates, and communicates to stakeholders available wellness programs and initiatives tailored to the unique needs of the employees, which include the 8 dimensions of wellness
- Partners with Operations, other stakeholders, and vendor providers to ensure access to and awareness of structured, cohesive, and accessible wellness tools and resources available for employees.
- Facilitates specialized workshops and outreach events on wellness topics; coordinates logistics, scheduling, participant communications, and post-event feedback.
- Supports and coordinates wellness programming with colleagues in different sites and/or countries to promote employee well-being, education, success, and retention, and to ensure regional/global adherence to the wellness framework.
- Monitors and reports compliance with specific hiring and training requirements for employees working in different lines of business (onboarding, company-required training, etc).
- Sources and assesses third-party resources to bring outreach services or specialized training to employees as part of wellness initiatives.
- Develops and facilitates specialized workshops or services requiring attention to detail, strategic thinking, and diplomacy with critical stakeholders including leadership, support staff, and current and potential clients on wellness topics.
- Provides resource, referral, and case management services to employees requesting support outside of TaskUs wellness capabilities.
- Serves as an educational leader on community resources available to all employees and works closely with HR to ensure alignment on current benefits information.
- Tracks and proactively orders supplies and other material needs.
- Ensures wellness spaces are in good condition through regular inspections and timely entry of work orders.
- Liaises with internal TaskUs stakeholders and vendor clinicians to ensure efficiency in appointment scheduling and accuracy in staffing coverage
- Assists in reviewing presentation decks of vendor clinicians, and provides feedback to ensure fidelity to the TaskUs programming framework, storytelling format, and appropriateness in a business setting.
- Champions and tracks participation rates and program success metrics to evaluate the effectiveness of wellness initiatives and make data-driven improvements
- Gathers and formats data to assist the manager with business review reporting requirements
- Coordinates with the research and data analytic team to promote employee resiliency assessments.
- Recognizes employees in distress and refers them through the proper channels and resources available at TaskUs (coaches, vendor clinicians, EAP) or to appropriate local resources.
- Maintains organized and up-to-date records to meet client audit requirements.
- Tracks and reviews well-being data for accuracy and prepares reports, as needed
- Meets with leaders from key stakeholder departments to maximize wellness service provision and increase awareness of resources
- Participates in cross-functional committees to improve policies or procedures as needed and coordinates logistics, scheduling, and stakeholder communications.
- Creates and distributes marketing materials to spotlight wellness initiatives through social media, email distributions, and other methods of communication.
- Represents leadership in meetings when appropriate
- Maintains regular communication with employees through newsletters, email updates, and digital platforms to promote wellness programs and resources.
- Collaborates with the W R Team and other stakeholders to integrate wellness into broader well-being policies and ensures alignment with organizational goals.
Requirements:
- Graduate of a 4-year college course, preferably in Psychology, Social Work, or similar tracks
- Minimum 3 years of experience in project management and has demonstrated organizational skills including detailed management of timelines, and events, and ensuring efficient use of financial resources.
- Minimum 3 years of experience in adult education, including delivering webinars, training, and workshops on mental health and wellness topics.
- Highly skilled in event planning, coordination, and delivery of psycho-educational programming
- Keen attention to details
- Ability to create and maintain effective relationships with employees and management in a rigorous work setting.
- Outstanding communication skills, with emphasis on listening skills
- Above Average fluency in written and spoken English
- A strong desire to help others
- Flexibility to work with shifting hours
