Scope of Position
The Reservation Agent is responsible for providing a professional and efficient reservation experience for each guest of the resort. He/she will process all advance deposits, cancellation penalties according to established resort requirements as well as provide information to any guest or visitor inquiring about room reservations and ancillary spending. In addition, he/she is always expected to complete daily checklists and practice hospitality and courtesy.
Position Requirements
- Two years previous experience in transient and group reservations, preferred.
- Previous hospitality Reservations, Front Office, or Sales experience an asset.
- Handle a multitude of tasks in an ever-changing environment and prioritize job duties.
- Multiple languages a plus.
- Possess outstanding guest services skills, professional presentation communication skills.
- Superior phone etiquette, manners, record keeping and follow-up skills.
- Proficient in hotel property management systems, in particular Opera and GXP.
Responsibilities
- Manage reservations aspects in a timely and accurate manner.
- Responsible for booking room reservations; quoting available rates to maximize room revenue, including trying to upsell rooms when possible.
- Ensures all reservations are completed accurate and satisfactory to the Guest’s expectation and needs.
- Enters reservations into the Hotel Property Management System according to standard operating procedures.
- Respond to all clients in a highly professional manner.
- Complete knowledge of all rooms, layout, and location as well as all amenities.
- Liaison with key departments to ensure optimal performance.
- Complete projects in a timely manner required by management.
- Perform other duties and responsibilities as assigned.
Education
- High school diploma: Hospitality degree/diploma preferred.
Skills and Abilities
- Ability to communicate in the English language. Second language is a plus.
- Strong problem solving and analytical abilities.
- Ability to create and maintain spreadsheets.
- Ability to meet deadlines and work under pressure.
- Experience using computers and software programs such as Microsoft Office (Word, Excel, and Outlook).
- Ability to work flexible schedules including holidays and weekends and able to perform multiple tasks.
Physical Requirements
- On a continuous basis, sit at a desk for long periods of time in front of a computer screen.
- Intermittently twist to reach equipment or supplies surrounding desk.
- Use telephone and computer keyboard daily.
- Must be physically fit to lift, pull, and push items up to 50 pounds.
- Also requires standing/walking/reaching and bending throughout shift.
