Overview

We are seeking a highly organized and proactive Executive Assistant to support our CEO. The ideal candidate will be detail-oriented, an excellent communicator, and capable of managing multiple tasks efficiently in a fast-paced environment. This role is crucial in ensuring the smooth operation of the CEO’s schedule, communications, and administrative functions.

This is an entry-level opportunity with significant room for growth, offering additional earning opportunities beyond base pay and potential pay increases over time.

Duties

  • Calendar Management – Schedule and coordinate meetings, appointments, and events for the CEO.
  • Email Correspondence – Manage, sort, and respond to emails on behalf of the CEO.
  • Travel Arrangements – Book flights, hotels, and transportation while preparing detailed travel itineraries.
  • Meeting Preparation – Prepare agendas, take meeting minutes, and create presentations as needed.
  • Report Generation – Develop reports, documents, and spreadsheets for business operations.
  • Communication Coordination – Facilitate internal and external communication, acting as a liaison between the CEO and stakeholders.
  • Confidential Document Handling – Manage sensitive and proprietary information with discretion.
  • Project Management Assistance – Track timelines, deadlines, and deliverables for ongoing projects.
  • Personal Errands – Occasionally assist with personal tasks such as scheduling appointments or handling reservations.
  • Stakeholder Engagement – Coordinate with key contacts, board members, and high-level clients.
  • Research & Analysis – Conduct research and provide insights on various business matters.
  • Event Planning – Assist in the planning and execution of corporate events, conferences, and executive meetings.
  • Task Prioritization – Help the CEO manage workload effectively by prioritizing key responsibilities.
  • Networking Assistance – Maintain and expand the CEO’s professional network through meeting coordination and follow-ups.
  • Social Media Management – Oversee and support the CEO’s professional social media presence.
  • Client Relations – Act as a point of contact for VIP clients, ensuring their needs are met.

Experience & Qualifications

  • Previous experience in an administrative or executive support role is preferred but not required.
  • Strong organizational and time management skills with the ability to multitask.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office, Google Suite, and basic project management tools.
  • High level of professionalism, discretion, and confidentiality.
  • Ability to adapt to a dynamic and evolving work environment.
  • Strong attention to detail and problem-solving skills.

Job Types: Full-time, Part-time

Pay: From $2,000.00 per month

Expected hours: 25 – 30 per week

Schedule:

  • Monday to Friday
  • Weekends as needed
