Job Summary:
We are seeking a highly organized and proactive Office Assistant to support our daily operations. This full-time, on-site role is essential in assisting the bookkeeper, ensuring compliance with federal, state, and tribal regulations, and providing general administrative support. The ideal candidate is detail-oriented, adaptable, and comfortable handling a variety of tasks, from office tasks to customer service.
Key Responsibilities: Administrative & Bookkeeping Support:
- Assist the bookkeeper with daily tasks, data entry, and record-keeping.
- Help maintain financial documents, reports, and filing systems.
- Stay up to date with compliance requirements, ensuring all federal, state, and tribal regulations are met.
Office Operations & Organization:
- Keep office spaces organized, stocked, and running efficiently.
- Manage files, documents, and other administrative tasks as needed.
- Run necessary errands in town, including post office, bank, and supply pickups.
Customer Service & Sales:
- Assist customers and clients with inquiries in person, over the phone, and via email. - Support sales efforts by helping any walk in customers or phone calls, managing appointments, and maintaining records.
- Provide a professional and welcoming experience for all visitors.
General Assistance & Special Tasks:
- Support the owner with various tasks and projects as needed.
- Adapt to any additional responsibilities that contribute to the smooth operation of the business.
Qualifications:
- Prior experience in an administrative or office support role preferred. Bonus points if you have working in an office role managing multiple entities.
- QuickBooks Online experience
- Strong organizational skills and attention to detail.
- Ability to multitask and prioritize tasks efficiently.
- Proficiency in Google Suite (Sheets, Docs, Gmail) and general computer skills.
- Excellent communication and customer service skills.
- Ability to handle confidential information with integrity.
- Valid driver’s license and reliable transportation.
