The Data Entry Company (TDEC), a nationally recognized Business Processing Outsourcing (BPO) Organization, seeks a Supervisor for our mailroom office located in the Washington, D.C. area.
Candidate must be able to work onsite daily in our mailroom office.
Summary:
The Supervisor will help supervise the daily operation and will assist to lead the team in direct support of our federal customer. The supervisor will liaise with TDEC direct and indirect reports, prime contractor management and federal management to complete daily required services. This position includes assistance with oversight of the administrative duties, equipment and general functions of the contract.
Duties & Responsibilities:
Supervise and lead employees assigned to the following tasks:
- Data entry
- Mail processing- counting, sorting, opening, prep, scan
- Electronic Record filing
- Timekeeping
- One off client requests
- Invoicing
- Daily, weekly and monthly performance reports
- Other specific tasks as directed by Site Manager
Candidate must be able and willing to:
- Represent TDEC on technical and administrative work matters as described in the contract
- Provide clear, concise and timely responses to customer and business partner inquiries
- Forecast weekly, monthly and annual incoming mail volume
- Make process change recommendations to improve efficiencies
- Compile multiple reports and effectively communicate the results to both internal and external management
- Monitor daily volumes of incoming mail and effectively shift staff in and out of the different functions to complete daily work within the required timelines
- Be responsible for the overall daily production and quality goals
- Meet with staff to provide clear concise feedback and timelines to meet expectations
- Create a pathway to success for new hire staff members through frequent review of daily output and coaching best practices
- Issue Performance Improvement Plans (PIP) and corrective actions as necessary
- Monitor staff timesheets and ensure accuracy
- Schedule and manage vacation, sick time, unplanned absences, overtime, etc. to keep the workspace running efficiently and meet contracted requirements
- Enforce TDEC policies and procedures according to established handbook guidelines
- Assist with all aspects of the hiring process for open positions- recruit, interview, background check, onboard
- Ensure staff cross-training to build bench strength
Required Knowledge & Experience:
- Three (3) years of management experience is substitutable for college degree
- Must have at least (2) years of record management experience
- Ability to manage time effectively
- Ability to comfortably interface with the Government representatives and management as well as other business partners on the contract
- Ability to respond clearly and concisely to various requests from federal customers, prime contractors and TDEC management
- Authorization to work in the U.S.
Preferred Knowledge & Experience:
- College degree preferred
- Knowledge of operation of the following mail equipment:
- Opex
- Omation
- Agissar
- High Speed Scanners
