JOB SUMMARY:
This position will provide reception and administrative support for employees of TDX Corporation and its subsidiaries, as well as supporting the Human Resources (HR) department.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Reception / Office Duties:
- Answer multi-line phone system for TDX companies, utilizing the voice mail system and manual message taking; checking voice mail regularly and providing immediate attention to all voice mails; transferring callers if necessary, or taking and passing along a message if they don’t want to be transferred.
- Greet guests, assisting guests by having them sign in at the front desk; calling necessary department for visitor, or employee if family or friends are visiting.
- Receive incoming deliveries and prepare labels and packages for outgoing deliveries, i.e., FedEx.
- Operate standard office equipment, faxing, scanning, and copying of documents for all of TDX companies.
- Keep work areas and break areas clean, sanitizing and cleaning the reception area and both break rooms daily.
- Assist supervisors who will assign this position administrative tasks and other duties as needed, i.e., bank deposits, mail monthly bills, make labels, help with shareholder and customer mail outs, etc.; run errands within the Anchorage area when possible as needed.
- Maintain office equipment, ordering supplies for machines; i.e., ink, paper and/or make service orders for copiers; check and stock paper daily.
- Manage office supplies, i.e., paper, pens, labels, folders, obtaining approval by appropriate TDX companies’ supervisor if needed.
- Pick up, date-stamp, sort, and distribute mail daily for all TDX companies, including scanning and emailing mail; securing mail in a locked drawer/cabinet when stepping away from the desk.
- Reserve conference spaces for meetings.
HR Support:
· Schedule and co-facilitate interviews with hiring managers.
· Field phone calls from job candidates for updates on their application status.
- All other duties as assigned.
MINIMUM REQUIREMENTS:
- High school diploma or equivalent required.
- Previous secretary/receptionist experience preferred.
- Previous experience in Human Resources preferred.
- Valid driver’s license with a good driving record required.
- Ability to type 30 wpm accurately required.
- Proficient at Microsoft Office Suite preferred.
- Ability to use a calculator required.
- Ability to lift up to 50lbs. required.
