Qualifications:
- High School diploma required; additional education or relevant certifications preferred.
- Strong communication skills (written, verbal, email, and phone etiquette).
- Proficiency in computer skills, including word processing, spreadsheets, and database management.
- Exceptional organizational and multitasking abilities.
- Friendly, professional demeanor with the ability to work well with students, staff, parents, and community members.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong problem-solving skills and the ability to take initiative in a dynamic work environment.
- Hold or willing to obtain Notary Certification
Essential Responsibilities:
- Serve as the primary point of contact for the district business office, welcoming visitors and handling inquiries professionally.
- Manage phone calls, emails, and correspondence, ensuring timely and appropriate responses.
- Maintain and update district records, reports, and documents with accuracy and confidentiality.
- Coordinate and schedule appointments, meetings, and travel arrangements.
- Support the School Business Official with financial documentation, record-keeping, and business office operations as assigned by the superintendent.
- Assist with budget preparation, financial reporting, payroll processing, and staff leave tracking as assigned by the superintendent.
- Process purchase orders, manage office supply inventory, and handle financial documentation as needed.
- Assist with student registration, event planning, and district communications, including newsletters and website updates.
- Conduct background checks on school volunteers and ensure compliance with district policies.
- Support district initiatives and projects as assigned by the Superintendent.
- Coordinate district-wide communication efforts, including drafting letters, announcements, and reports.
- Monitor and manage compliance with state and federal reporting requirements.
- Work closely with department heads and administrative staff to ensure operational efficiency.
- Oversee office procedures, workflow, and administrative tasks to maintain an organized work environment.
- Support event planning and logistics for district-wide programs, training, and professional development sessions.
- Track and manage contracts, vendor agreements, and service requests to ensure timely renewals and compliance.
- Duties may fluctuate according to skills and district needs as determined by the Superintendent.

This position requires handling sensitive and confidential information regarding students, staff, and district operations. The District Administrative Assistant must adhere to strict confidentiality policies and exercise discretion in all professional interactions. Any breach of confidentiality may result in disciplinary action.
