We are looking for a full-time Office Administrator/Bookkeeper to take on various responsibilities and keep our busy office running smoothly. We specialize in commercial and municipal buildings, post-and-beam, and timber frame design and building. We pride ourselves on offering various services while providing a consistent customer service experience. Our hardworking and dedicated team has over 50 years of combined construction experience!
About our Office Administrator/Bookkeeper position:
- Process payroll, including certified payroll for prevailing wage jobs, quarterlies, etc.
- Provide accurate bookkeeping, including accounts payable and accounts receivable, reconciling accounts, compiling reports, etc.
- Coordinate HR functions, including overseeing new hire paperwork, employee files, attendance, scheduling 90-day reviews, etc.
- Maintain company records relating to Workers' Compensation, company and vehicle registrations, insurance, vehicle maintenance records, etc.
- Support the Sales team by updating CRM, compiling packets, obtaining certificates of insurance, and generating reports
- Answer the phone and direct calls
- Take care of miscellaneous projects and office tasks as needed
Our Ideal Office Administrator/Bookkeeper:
- Experienced: At least 5 years of office experience with 3 years of bookkeeping/accounting experience. Familiarity with prevailing wage payroll and construction industry knowledge is helpful but not required. Basic HR knowledge preferred.
- Computer Savvy: Strong computer & typing skills. Experience with QuickBooks Online and Google Workspace or Microsoft 365 is required.
- Accurate: Excellent attention to detail. Very process-driven and organized.
- Excellent Communicator: Strong written and verbal communication skills. Friendly when communicating with customers, vendors, and teammates.
- Team Player: Humble enough to admit mistakes. Driven to do a great job. Strong interpersonal skills.
- Trustworthy: Commitment to follow through with assigned tasks.
