This Full-Time position is located at FOB Eagle in Eagle Pass, TX.

Work hours: 10:00 AM to 7:00 PM

The Administrative and Inventory Specialist is a key player in ensuring the smooth and efficient operation of the office by managing daily activities, providing administrative support, overseeing inventory, and fostering communication between departments, clients, and vendors. This role provides access to company inventory, supplies, and assets for daily operations. The position requires availability for the afternoon shift, from 10:00 AM to 7:00 PM, with the potential to work on weekends as needed.

Essential Position Functions
Office Management

  • Oversee day-to-day office operations.
  • Ensure office supplies are well-stocked and maintained.
  • Maintain an organized office environment.

Administrative Support

  • Provide administrative support to staff and management.
  • Handle messages and correspondence.

Data Entry & Document Management

  • Organize and store important documents (physical and digital).
  • Assist with data entry, database management, and report preparation.
  • Ensure confidentiality of sensitive information.

Customer Service

  • Greet and assist visitors, clients, and vendors professionally.
  • Address inquiries and concerns from customers or employees.
  • Serve as a liaison between departments, clients, and vendors.

Inventory & Logistics Management

  • Ensure availability of consumables for operations.
  • Maintain inventory at manageable levels and minimize costs.
  • Address supply chain disruptions quickly and effectively.
  • Perform regular cycle counts and keep accurate records of shipments and inventory.

Reporting Structure

The Administrative and Inventory Specialist will report directly to the Basecamp Director.

FLSA Status

This position is classified as Non-Exempt under the Fair Labor Standards Act.

Qualifications

  • High school diploma or equivalent (associate or bachelors degree in business or related field preferred).
  • At least 2 years of office administration or clerical experience.
  • 4-6 years of logistics experience preferred.
  • Inventory management experience.
  • Procurement and supply chain support experience is a plus.
  • Proficient in MS Office (Excel experience required).
  • Strong organizational, multitasking, and time management skills.
  • Excellent communication abilities, both verbal and written.
  • Ability to work independently and in a team.
  • Friendly, approachable, and professional demeanor.
  • Strong attention to detail and problem-solving skills.
  • Experience with ERP system knowledge and inventory management software (SAP, NetSuite, Intuit, etc.) is a plus.
