This Full-Time position will office at our corporate headquarters located in New Braunfels, TX.
Work schedules available:
- Monday through Friday, 1PM to 10PM
- Saturday through Wednesday, 9AM to 6PM
- Wednesday through Sunday, 2PM to 11PM
The Reservations Specialist is responsible for hotel bookings, keeping track of client rosters, and ensuring accuracy of booking in accounting system. Reports directly to Client Services Manager.
Essential Position Functions
- Track all hotel request in pending reservations spreadsheet. Follow THS policy when filling out each to ensure all inquiries are being tracked appropriately
- Create hotel proposals that meet or exceed client expectations
- Reserve hotel rooms on behalf of our clients
- Follow In Texas vs. Out of Texas rate policy and calculate profitable margins
- Set up new properties, units, and reservations in accounting system, as well as update system with any changes to current reservations
- Communicate with guests and hotels to ensure clear expectations and instructions on each reservation (i.e., credit card authorization forms filled out to hotel, cancellation policy acknowledged by client, extra fees acknowledged by client, etc.)
- Promptly resolve any hotel or guest issues, escalate issue to reservation manager or account executive if needed
- Follow THS policy for all rosters. Keep up to date with current roster spreadsheet and ensure rosters are being updated in all systems
- Negotiate rates with hotels and their management companies. Reach out to the Supply Chain Manger for help as needed
- Answer and field incoming calls
- All other duties as assigned.
Required Outcomes
- Turnaround lodging proposal times within 20 minutes or update client on the status of the reservation
- All roster updates completed in accounting system by end of shift or passed on to the next shift reservation specialist
- All unit and reservations entered in accounting system for new bookings at the time of new reservation (ex. Reservation for 5 units-all 5 units entered at the same time)
- Conduct market research once a quarter for cities determined by Account Executives
- Negotiate hotel rates for large incoming projects/ cities with high volume
- Follow proper phone etiquette procedures and answer calls according to policy
- Communicate any requested changes to a client’s profile to accounting and account executive and reservation manager
- Complete open tasks before end of shift or ensure proper handoff is made with coworkers
Qualifications
Minimum Position Requirements
- Education: Some college; degree a plus
- Experience: 1 year of experience in Reservations or Customer Service, Knowledge of reservation & accounting systems
- Preferred Experience: Energy Corporate Housing, Hospitality
- Skills: Customer service, Microsoft Office, Strong attention to detail & Accuracy, Strong organizational skills, Effective communication & Interpersonal skills, Team collaboration, Strong attention to detail and Accuracy & Problem solving
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times
