Executive Assistant to the Managing Director

$63,000 - $70,000 Salary Performance Incentive Plan

As Executive Assistant to our Managing Director, you will play a key role in supporting the company’s leadership by managing day-to-day operations, handling confidential matters, and ensuring the Managing Director is equipped to drive strategic initiatives.

Key Responsibilities

This role combines administrative excellence with a strong focus on operational support. Responsibilities include:

Strategic Communication Management

  • Serve as the Managing Director’s primary point of communication, prioritizing and managing emails, requests, and correspondence to align with business goals.
  • Facilitate clear communication across teams, vendors, and key stakeholders to ensure alignment with operational objectives.
  • Represent the Managing Director in meetings when necessary, preparing briefing notes and ensuring follow-up on action items.

Business Operations and Processes

  • Coordinate operational projects and initiatives, ensuring milestones are met and deliverables align with Tractor Ranch’s strategic vision.
  • Monitor key business processes and provide recommendations for streamlining workflows and increasing efficiency.
  • Act as a central point of contact for cross-functional teams, supporting the implementation of company-wide initiatives such as inventory optimization, service efficiency improvements, and customer satisfaction enhancements.

Performance Tracking and Reporting

  • Compile, analyze, and present data related to business performance, customer trends, and operational metrics.
  • Assist in preparing high-impact presentations, financial summaries, and reports for board meetings and executive decision-making.
  • Track key performance indicators (KPIs) and highlight actionable insights that inform business strategies.

Scheduling and Meeting Optimization

  • Manage the Managing Director’s complex schedule, balancing operational meetings, strategic planning sessions, and personal commitments.
  • Anticipate scheduling conflicts and proactively adjust plans to maximize productivity.
  • Organize and coordinate logistics for executive-level meetings, including preparing agendas, presentation materials, and follow-up action plans.

Project Coordination and Oversight

  • Coordinate key operational projects, such as vendor partnerships, service delivery enhancements, and process improvements, ensuring timely completion.
  • Track task ownership, timelines, and deliverables across teams to maintain project momentum.
  • Support contingency planning to mitigate risks and ensure smooth operations during peak business periods.

Administrative Support

  • Arrange travel logistics, manage expense reports, and handle other administrative processes for the Managing Director.
  • Maintain accurate documentation and organize records for efficient access and retrieval.
  • Safeguard sensitive and confidential documents with professionalism and discretion.

Workflow Optimization

  • Leverage digital tools to optimize workflows, manage collaborative platforms, and enhance the Managing Director’s efficiency.
  • Recommend and implement workflow optimizations using tools like scheduling systems, CRM platforms, and data analytics software.
  • Proactively explore emerging technologies to improve operational processes.

Qualifications and Skills

  • Bachelor’s degree in Business Administration, Operations Management, or related fields.
  • Advanced certifications (e.g., Project Management Professional - PMP) are highly advantageous.
  • 5 years of experience in executive-level administrative or operational roles, with a strong focus on business process management.
  • Demonstrated ability to manage complex projects and support operational success in dynamic business environments.

Key Competencies

  • Exceptional organizational and time management skills with the ability to manage multiple priorities.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), collaboration tools (Slack, Teams), and CRM platforms.
  • Strong analytical skills with experience in interpreting business data and generating actionable insights.
  • Excellent verbal and written communication skills, with the ability to interact confidently with stakeholders at all levels.
  • Proactive problem-solving abilities with a focus on operational excellence.

Performance Metrics

  • Improvement in operational workflows, as measured by process efficiency gains and timely project completion.
  • Positive feedback from stakeholders on communication and operational support.
  • Enhanced productivity of the Managing Director, reflected in time saved and strategic focus.
  • Successful execution of critical operational initiatives and measurable improvement in key performance indicators.

The Executive Assistant reports directly to the Managing Director and works closely with cross-functional teams to ensure operational excellence and strategic alignment.

Performance Expectations

  • Flexibility to support business operations during peak periods and critical events.
  • Availability for occasional travel to support operational reviews and vendor or stakeholder meetings.
  • Commitment to professional development and continuous learning in operations and business management.
