SUMMARY:
This position is a high-level administrative and technical support role requiring extensive experience in project administration, technical documentation, and compliance with DOE standards. The ideal candidate will have strong leadership and problem-solving skills, with a deep understanding of nuclear operations, LMS, and engineering document management systems. An active or recent DOE “Q” clearance will strengthen the candidate’s profile.
Primary Responsibilities:
- Technical Document Development:
- Develop, review, approve, and present technical work documents for the safe operation of Tritium.
- Ensure compliance with DOE Orders and implement applicable controls in field procedures.
- Technical Support Assessments:
- Conduct and maintain program manuals.
- Assess technical support programs for compliance and effectiveness.
- Administrative and Engineering/Training Support:
- Manage engineering/training administrative activities:
- Equipment procurement, maintenance, and repair.
- Availability of office supplies and software (in LMS).
- Coordination of office space and filing systems.
- Tracking and retrieval of documents and commitments.
- Resolve complex problems using creative and innovative approaches.
- Develop solutions to administrative problems within the Learning Management System (LMS).
- Improve administrative processes and methodologies.
- Leadership and Management:
- Lead the Training Coordinator (TC) department.
- Provide direction and support to professional administrative staff.
- Manage workload, schedules, and personnel assignments.
- Provide training and guidance to junior staff.
- Process and Systems Management:
- Formulate and implement standard operating procedures for:
- Retention, protection, retrieval, and disposal of records.
- Processing design/watchbill documents via Smart Plant Foundation (SPF) and Electronic Document Workflow System (EDWS).
- Manage employee communications, recognition programs, and security clearance requests.
- Oversee travel and training for Design Engineering teams.
- Performance and Reporting:
- Compile and analyze department performance data.
- Prepare reports for senior management and propose improvement initiatives.
- Support budgeting and resource planning.
Required Qualifications
✅ Bachelor’s degree in business or related field 12 years of project administration and supervision.
✅ Associate degree 15 years of project administration experience.
✅ High school diploma 18 years of relevant work experience.
Technical Skills & Expertise:
- In-depth knowledge of engineering/training document work systems.
- Proficiency with Microsoft Office and general office applications.
- Expertise in budgeting processes and site accounting practices.
- Strong understanding of project procedures and administrative practices.
- Strong oral and written communication skills.
- Strong organizational and negotiation skills.
Security Requirements:
- Must be able to obtain and maintain a DOE “Q” security clearance.
- A positive Facility Security Clearance (FOCI) from DOE is required.
Preferred Qualifications
✅ Active DOE clearance (L or Q) within the past 2 years is preferred.
✅ Subject Matter Expert (SME) in Learning Management System (LMS).
✅ Experience with:
- DOE Order 426.2, 4B Manual, 2S Manual Conduct of Operation
- Developing and approving Qualification/Certification Cards
- ✅ Experience conducting Nuclear Operational Support Program assessments.
