Job Overview:
We are seeking a highly organized and results-driven Operations Manager to oversee the day-to-day operations of our small marketing agency. This role will be pivotal in ensuring the smooth execution of internal processes across Operations, Accounting, Human Resources, and the Creative Team. The ideal candidate will have strong leadership skills, a keen eye for efficiency, and the ability to manage multiple departments effectively. Key Responsibilities:
Operations Management:
- Oversee and optimize all operational processes, ensuring seamless workflow across departments.
- Develop and implement operational strategies to improve efficiency, reduce costs, and enhance service delivery.
- Monitor the performance of projects, ensuring adherence to deadlines, budgets, and quality standards.
- Collaborate with department heads to identify and resolve operational bottlenecks.
- Maintain and update operational policies and procedures to ensure compliance and industry standards.
Accounting and Budget Management:
- Manage the agency’s budget, ensuring financial goals are met and resources are allocated efficiently.
- Work closely with the finance team to oversee billing, invoicing, and financial reporting.
- Monitor cash flow and ensure proper financial documentation and reporting.
- Help prepare monthly financial reports and provide recommendations for improving cost efficiency.
Human Resources:
- Oversee recruitment, onboarding, and employee development initiatives.
- Manage employee relations, ensuring a positive and productive work environment.
- Implement performance review processes and provide coaching to team members.
- Ensure compliance with HR policies and local labor laws.
- Lead efforts in creating and maintaining a strong agency culture, promoting teamwork and professional growth.
Creative Team Support:
- Collaborate with the Creative Director to ensure that the creative team has the resources needed to meet client expectations.
- Facilitate communication between creative team members, account managers, and clients.
- Help manage workloads within the creative team, balancing creative output with deadlines.
- Support the development of creative concepts by ensuring operational needs are met efficiently.
- Provide operational insights to enhance the creative process and improve overall project delivery.
Qualifications:
- Bachelor’s degree in Business Administration, Operations Management, Marketing, or related field.
- Minimum of 5 years of experience in operations, preferably within an advertising or marketing agency.
- Strong knowledge of accounting principles and budget management.
- Proven experience managing cross-functional teams and a deep understanding of human resources processes.
- Strong leadership, organizational, and problem-solving skills.
- Ability to thrive in a fast-paced, creative environment while maintaining high operational standards.
