Position Overview:
The Payroll Specialist is responsible for ensuring the accurate and efficient processing of payroll for both unionized and non-union employees. This role focuses on applying and interpreting collective bargaining agreements, maintaining compliance with payroll regulations, and contributing to the continuous improvement of payroll processes. The ideal candidate is detail-oriented, knowledgeable in union payroll, and collaborative, contributing to a high-performance team in a dynamic, hybrid work environment.

Key Responsibilities:
Payroll Processing & Compliance:
- Process payroll for unionized and non-union employees, ensuring accuracy and timeliness, including adjustments for hours worked, overtime, and deductions.
- Interpret and apply collective bargaining agreements to ensure compliance with wage scales, benefits, and union regulations.
- Maintain accurate payroll records, ensuring data integrity, security, and confidentiality.
- Ensure compliance with federal, state, and local payroll laws and regulations..
Collaboration & Reporting:
- Collaborate with HR and Finance to reconcile payroll discrepancies and generate payroll metrics reports.
- Provide clear communication to employees regarding payroll policies, addressing inquiries promptly and professionally.
System Management & Process Improvement:
- Maintain and optimize payroll systems and workflows to improve efficiency and accuracy.
- Conduct regular audits of payroll processes to proactively identify and resolve discrepancies.
- Stay current with union agreements and update rates, deductions, and calculations for out-of-jurisdiction work.
Union Payroll Expertise:
- Maintain and update the Union Wage Package Comparison spreadsheet.
- Process monthly union fringe reporting and support annual audits of trust funds.
- Research and resolve discrepancies related to trust fund payments.
Additional Responsibilities:
Stay informed about industry trends, best practices, and legislative changes affecting payroll and labor relations.
- Flexibility to perform other assigned tasks to support the overall business objectives, while proactively seeking opportunities for continuous learning and professional development.
Requirements (Education, Experience, Skills & Attributes):
- 5 years of payroll experience, with significant focus on union payroll processes.
- Strong knowledge of payroll software (e.g., Paylocity, Paycom, ADP, Paychex); experience with Paylocity preferred.
- In-depth understanding of collective bargaining agreements and labor laws.
- Exceptional analytical, problem-solving, and organizational skills.
- Proficiency in Microsoft Excel and Teams.
- Effective verbal and written communication skills, with the ability to collaborate across diverse teams.
- Strong attention to detail and ability to maintain confidentiality.
Preferred Qualifications:
Bachelor’s degree in Finance, Accounting, Human Resources, or a related field (preferred).
