We are seeking a Facilities Service Coordinator for our Wichita, KS office.
The Facilities Service Coordinator is responsible for providing effective customer service by establishing a working relationship with clients and members of the Facilities department. This position directly reports to the Director of Service.
Responsibilities (include):
- Manages and monitors electronic data for existing and new clients.
- Works within customer portals to open, close and process work orders.
- Assists with contracts for repair orders.
- Generates weekly client invoices for all repairs completed by the Facilities department. Ensures time and material orders are billed accurately.
- Dispatches service orders within Facilities.
- Responsible for roofing and services inventory management.
- Enter service billing as needed.
- Project set up, material purchasing and subcontractor management.
- Budget management on Facilities projects.
- Works closely with Facilities Superintendent daily to understand customer and company requirements.
- Assists Facilities Superintendent with badging, permitting and other trainings.
- Assists with general office duties including but not limited to answering the phone.
- Assists with the organization of jobs and crews within Facilities, including but not limited to job set up, materials billing, scheduling of crews.
- Handle all day-to-day Facilities department business including review of daily timecards and Facilities tickets, creating Facilities tickets, scheduling, and communication with field crews and office staff.
Position Requirements:
- Six months to 1 year of related experience and/or training, or equivalent combination of education and experience.
- Knowledge of Microsoft products.
- Experience in customer service.
- Great attention to detail for data entry tasks.
