Job Summary:
We are seeking a detail-oriented and organized Production Planner to oversee the scheduling, planning, and coordination of maintenance and production tasks for a fast-paced manufacturing environment. This role ensures smooth operations by managing production orders, coordinating resources, and maintaining accurate documentation. The ideal candidate has strong communication skills, proficiency with software tools, and a proactive approach to problem-solving.
Key Responsibilities:
Production Planning:
Plan and oversee maintenance activities, including heavy maintenance scheduling.
Open, manage, and review production orders for efficient workflow.
Coordinate resources for high-priority tasks, ensuring timely resolutions.
Resource Coordination:
Order and manage repair/replacement parts required for maintenance and repairs.
Arrange travel, accommodations, and transportation for field technicians.
Monitor and manage material shortages, ensuring availability for production needs.
Documentation and Auditing:
Prepare and update production paperwork and indexes for compliance and accuracy.
Conduct weekly audits of production documentation to ensure quality and completeness.
Create, maintain, and validate invoices for materials and operations.
Process and manage discrepancy reports and related production paperwork.
Scheduling and Process Management:
Maintain and update production scheduling systems with relevant data.
Track and adjust production schedules based on material and demand changes.
Manage digital processes for maintenance and repair approvals, ensuring accuracy and consistency.
Support and Training:
Coordinate, implement, and provide training on database systems and processes.
Support production staff with prioritization of tasks and resolution of operational challenges.
Timekeeping and Payroll Coordination:
Maintain accurate records of maintenance personnel work hours.
Enter daily work hours for contractors and verify timesheets for accuracy.
Submit approved contractor timesheets to the payroll team for processing.
Monitor and record total hours worked by field technicians.
Timesheet Management:
Approve timesheets in designated timekeeping systems and resolve discrepancies.
Process requests for changes in status, including vacation, unpaid leave, and other time-off requests.
Ensure proper documentation and entry of on-call pay for specialized personnel, such as welder
Qualifications:
Technical Skills:
Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
Experience with Microsoft 365 is preferred.
Familiarity with Enterprise Resource Planning (ERP) systems; experience with Microsoft Dynamics AX is a plus.
Communication and Organizational Skills:
Excellent verbal and written communication abilities for conveying clear instructions and updates.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
Education and Experience:
High School Diploma or equivalent required.
Valid driver’s license required.
Experience in production planning, scheduling, or a related field is preferred.

Ability to prepare reports, maintain specialized records, and adapt to changing priorities.
