Essential duties and responsibilities, i.e. those which are basic, necessary, and an integral part of the job, are indicated below:
- Serve as the primary point of contact for candidates undergoing the onboarding process. Use pro-active communication skills and time management to ensure candidates are well-informed and supported throughout the entire process.
- Handle all aspects of onboarding paperwork with candidates, including distributing, collecting, and following up to ensure timely completion.
- Regularly connect with other HR groups to eliminate roadblocks, anticipate delays and pro-actively assess and address progress through the onboarding process.
- Carefully and expertly reviews completed paperwork prior to approval to ensure required identifying information is correct, paperwork is completed properly, and all required paperwork is completed in accordance with company policy and applicable laws and regulations
- Providing necessary information and resources to facilitate a successful transition for new employees and ensuring a smooth onboarding process.
- Developing and implementing comprehensive onboarding programs that align with the company's values and culture.
- Serving as a point of contact for new hires, addressing their questions and concerns and managing the onboarding process.
- Seeks, champions and pursues areas for improvement in the onboarding process and works with the team to implement enhancements. Strives to create a seamless and efficient onboarding experience for all candidates.
- Collaborating with HR, the hiring managers, and other stakeholders to ensure a smooth transition for new employees.
- Facilitating the completion of new hire paperwork and other necessary documentation.
- Monitoring the progress and integration of new employees, identifying any challenges and providing support as needed.
- Plan and coordinate the logistics of new employee onboarding, including scheduling and preparing materials.
- Schedule and coordinate onboarding activities, providing guidance and support to managers and new hires throughout the process.
- Ensuring completion of paperwork and following all legal and administrative compliance when onboarding candidates.
- Prepares, processes, and distributes a wide variety of information, (vehicle allowance, employment verifications, subpoenas, correspondence, reports, procedures, policies, etc.) some of which will be highly confidential and sensitive in nature, to ensure timely and accurate communications.
- Enters required new hire/rehire information into the E-Verify system to ensure employment eligibility and handle appropriate follow up if any employability issues come back from E-Verify.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately; including archiving terminated employee files.
- Assisting new hires with the completion of the necessary paperwork, including employee forms, benefits enrolment, and IT setup.
- Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.

Experience & Industry Expertise:
- Bachelor's degree in human resources, business administration or a related field preferred.
- 3 years of experience in onboarding and recruitment with a proven track record of successful onboarding processes and employee retention.
- Strong knowledge of onboarding best practices, HR policies and procedures, and employment laws in the Indian context.
- Demonstrable understanding of Indian labor laws and regulations to ensure compliance during the onboarding process.
- Certification courses in human resources management, like SHRM – CP.
- Strong organizational skills to manage and streamline the onboarding process efficiently.
- Excellent communication and interpersonal skills to build rapport with new employees and establish a positive onboarding experience.
- Attention to detail and organizational skills to coordinate and manage multiple onboarding processes simultaneously.
- Adaptability and flexibility to accommodate the diverse needs and backgrounds of new employees.
- Ability to collaborate and work effectively with team members with prior experience in corporate onboarding.
- Proficiency in using HRIS systems and experience with different applicant tracking systems.
- Knowledge of HR analytics to enable data-driven decision-making and strategic workforce planning.
- Proficiency in MS Office Suite.
- Knowledge of State and Federal labor laws and regulations related to onboarding and employee documentation.
- Ability to maintain confidentiality at all times.
- Proven project management skills along with a high level of proficiency with MS Office Suite and the ability to learn new software quickly. Prior SharePoint and/or Bluebeam software experience a plus.
- Ability to set priorities, organize work and work in high production environment while responding quickly and effectively under pressure, changing priorities and tight timelines/deadlines.
- Attention to detail/accuracy, quick learner and internally motivated to seek out answers, generate ideas, and develop new skills.
- Strong written and oral communication skills to effectively disseminate information to all levels of employees.
