Any other critical details to note for our suppliers? Team size is currently 3 looking to expand to 4. This role would be in our Bellevue office managing events Mon-Fri on-site generally as the only Event Team Member in that office.

ACTUAL TITLE: EVENT SPECIALIST

Roles/Responsibilities:
Own and manage multiple programs throughout the year
Serve as the single point of contact for programs owned ensuring consistent experience for the customer and best utilization of campus space
Participates in ideation collaborating with multiple stakeholders for the event in order to generate concepts and brainstorm ideas. Then help develop a plan for the execution of these ideas.
Responsible for contracting vendors including and not limited to catering furniture mascot talent and organizing internal business partner volunteer needs.
Provide guidance on internal processes required for events including guest registration security vendor load in/load out
Ensure the proper space set-up vendor load in/load out and working order of all audio-visual equipment
Develop and oversee the events budget. Review proposals for cost and profitability and keep the budget in mind when selecting proposals.
Identify and respond to service gaps misses and problems with a focus on both the guest experience and continuous improvement.
Understand client brand and marketing with the ability to ensure consistent on-brand messaging
Comfortable presenting event plans in front of all levels of team members including Leadership
Maintain up to date event documentation and interact with our internal event request system
Support other colleagues in multiple complex events and activities in a collaborative and extremely fast paced environment
Manage and contribute towards creative problem solving.

Required Skills:
Bachelor's degree or equivalent experience required
5-7 years successful event management experience planning customer-centric events preferably in a B2B high-tech fast-paced events environment
Excellent written and verbal communication and customer service skills with the ability to proactively address needs
Results-oriented customer driven organized with attention to detail and strong interpersonal skills that are effective at all levels of the organization
Ability to handle stress and last minute urgent requests anticipate issues and have or quickly develop contingency plans
Ability to assess and prioritize workload in a strict deadline-oriented environment
Thrive on teamwork and overcoming obstacles
In-depth knowledge of Service Cloud Quip collaboration tool G-suite products including docs sheets slides and hangout is desired
Ability to work a flexible schedule and travel when required minimal
Proficiency in GMAIL and GCAL Social Tables CAAD or CVent event software experience preferred
Exceptional time management communication organizational skills and professionalism
Highly organized with an acute attention to detail
Ability to adjust to changing priorities and handle multiple projects at once

Work Schedule:
Hours: Monday-Friday, 7:00 AM - 4:00 PM or 8:00 AM - 5:00 PM PST, depending on business needs.
Daily Tasks: Meeting with caterers for onsite events, managing events, planning future events with travelers from other offices, and working through the ticketing system. The role involves managing over 100 pending tickets, with more than half tied to Bellevue.
Responsibilities:
Event Coordination: Managing catering needs, AV support, and janitorial needs.
Program Management: Owning and managing multiple programs throughout the year, serving as the single point of contact for programs, and ensuring consistent customer experience and best utilization of campus space.
Vendor Management: Contracting vendors for catering, furniture, mascot talent, and organizing internal business partner volunteer needs.
Event Execution: Providing guidance on internal processes required for events, ensuring proper space setup, vendor load-in/load-out, and working order of all audio-visual equipment.
Budget Management: Developing and overseeing the events budget, reviewing proposals for cost and profitability, and keeping the budget in mind when selecting proposals.
Problem Solving: Identifying and responding to service gaps, misses, and problems with a focus on guest experience and continuous improvement.
Brand and Marketing: Understanding client brand and marketing to ensure consistent on-brand messaging.
Presentation: Comfortable presenting event plans in front of all levels of team members, including Leadership.
Documentation: Maintaining up-to-date event documentation and interacting with the internal event request system.
Collaboration: Supporting colleagues in multiple complex events and activities in a collaborative and fast-paced environment.

The pay range for this position is $25.00 - $28.00/hr.
