*A day in the role...*
* Schedules appointments for patients by phone when they call in.
* Schedules appointments from outside of practice referrals.
* Triage hospital on-call phone calls.
* Triage by asking a series of pertinent questions to understand urgency of medical needs.
* Uses scheduling system to match physician/clinician availability with patient's preferences and clinical needs in terms of date and time.
* Maintains scheduling system so records are accurate and complete and can be used to analyze patient/staffing patterns.
* Ensure that updates (e.g., cancellations or additions) are input daily into the master schedule.
* Uses system tools to properly document communications with the patient and changes or updates made to the schedule.
* Communicates as needed with physicians/clinicians and other staff about any patient concerns/issues related to scheduling.
* Ensures calls are transferred to the appropriate person.
* Uses customer service principles and techniques to deal with patients calmly and pleasantly.
* When assigned, maintains other communication tools (i.e. faxes, prescription refill voicemails, etc.) and communicates information received effectively with the proper staff.
