Job Summary :
The Physician Scheduler is responsible for managing and coordinating the shift schedules for psychiatrists and other healthcare providers within the psychiatry department. They may be asked from time to time to help with scheduling other service lines as backup. This role ensures that the department is adequately staffed at all times, balancing physician availability with patient care needs. The position requires excellent organisational skills, attention to detail, and the ability to manage complex schedules effectively.
Key Responsibilities :
Develop and maintain shift schedules for psychiatrists and other healthcare providers, ensuring adequate coverage across all shifts.
Adjust schedules as needed to accommodate physician availability, vacations, leaves of absence, and other factors.Coordinate with physicians to address scheduling conflicts, ensuring minimal disruption to patient care.Communication :Serve as the primary contact for physicians regarding their shift schedules.
Communicate schedule updates, changes, and any necessary information to all relevant staff.Liaise with other departments to ensure smooth operation and coverage across the facility.Administrative Support :Maintain accurate and up-to-date scheduling records in the scheduling software.
Prepare and distribute daily, weekly, and monthly shift schedules to physicians and other relevant staff.Monitor physician work hours and compliance with organisational policies, including overtime and on-call requirements.Coordination :Work closely with the practice manager and human resources to ensure compliance with labour laws and organisational policies.
Assist in the on boarding process for new physicians, ensuring they are integrated into the scheduling system smoothly.Collaborate with other departments to coordinate multidisciplinary care and optimise resource allocation.Problem-Solving :Proactively identify and resolve potential scheduling issues, such as over staffing, under staffing, or conflicts.
Implement contingency plans for unexpected absences or emergencies, ensuring continuous coverage.Compliance :Ensure that all scheduling practices comply with organisational policies, state, and federal regulations.
Maintain confidentiality of physician schedules and any related sensitive information.Qualifications :
Education :High school diploma or equivalent required.
Associate's degree or certification in healthcare administration, medical office management, or a related field is preferred.Experience :Minimum of 1-2 years of experience in medical or healthcare scheduling, preferably in a psychiatry or hospital setting.
Familiarity with physician scheduling software and electronic health records (EHR) is highly desirable.Skills :Strong organisational and time management skills.
Excellent communication and interpersonal abilities.Ability to handle multiple tasks and work under pressure.Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and relevant scheduling software.Physical Requirements :
Ability to sit for prolonged periods and work in an office environment.Occasional lifting of office supplies or equipment.Work Environment :
Work is typically performed in an office setting.Will require occasional overtime or weekend work depending on departmental needs.
