Summary
The Senior Accounts Payable Specialist at Tellus Equipment Solutions, LLC. is involved within all aspects of the full-cycle accounts payable process, including examining, verifying, and reconciling a variety of transactions, providing day-to-day support to their fellow AP department teammates, and becoming a subject matter expert regarding accounts payable processes within a multi-organizational environment. This role reports to the Assistant Controller, and interfaces closely with key business users to understand their needs and collaborate on continued process improvement and automation initiatives.
Responsibilities
- Responsible for the accurate maintenance of 1099 records within CDK and the annual filing of 1099 MISC and 1099 NEC Tax information returns with the Internal Revenue Service
- Coordinate accounts payable projects at the direction of the Assistant Controller
- Oversee enhancements to FileBound and / or FileBound-to-CDK API linkages that will decrease duplicate coding and increase efficiency and accuracy
- Ability to review and work multiple queues across dealerships to ensure all invoices are processed per the vendors’ payment terms
- Work to determine root cause for invoices routing to Unsubmitted & Rejected in FileBound queues
- Communicate clearly with all levels of management regarding adherence to AP policies and procedures
- Review all queues within FileBound and CDK (current ERP System) to ensure invoices are posted before month-end close
- Provide accounts payable assistance to department and store managers and operations staff
- Understand and apply policies, rules, regulations, and operating principles
- Establish and maintain project priorities with a high degree of accuracy
- Provide training to new team members and others within the organization on account payable system
- Manage invoice reconciliation to statements, resolve outstanding balances, and address unresolved vendor inquiries with a high degree of professionalism
- Discern when business pragmatics should take precedence over “the rules” and make decisions that are in the Company’s best interests (with the Assistant Controller’s concurrence)
