What are the responsibilities and job description for the Assistant Retail Manager position at Temescal Wellness?
The Assistant Manager assists in the management and operation of a therapeutic cannabis retail dispensary located in Keene, NH, pursuant to and in compliance with local and state laws and regulations, including New Hampshire Law, RSA 126-X. Temescal Wellness NH is a start-up business operating in an ever-changing regulatory landscape, and as such, the following job description may not include all necessary tasks. All employees will be expected to pitch in, as needed, to ensure the successful operation of each facility. These responsibilities shall include, but not be limited to, the following:
Responsibilities:
- Assist the Retail Manager with the hiring, managing and supervising the dispensary staff, such as Patient Service Associates and Specialists
- Manage staff scheduling, retail sales analysis and reporting and managing to target margin and labor metrics, in collaboration with the Retail Manager
- Support the Retail Manager in the maintenance of employee morale by recognizing coworkers' performance and service and inspiring employees so that the team contributes to the productivity of the dispensary
- Develop and maintain facility-specific policies and procedures to ensure a safe, compliant chain of custody for all therapeutic cannabis products:
- Transport/delivery/receipt of delivery QA/QC and security
- On-site inventory QA/QC and security
- Adhere to all standards pertaining to safety and cleanliness, and guidelines for therapeutic cannabis and therapeutic cannabis infused products handling and storage (e.g., OSHA, ADA, Serv-Safe)
- Support Inventory Specialist to ensure all incoming and outgoing inventory complies with packaging, labeling, count, and manifest requirements
- Liaise with the Manager, Inventory Specialist, Director, and production teammates to communicate re-stocking needs, to ensure consistent stock is available to patients and support long-term production planning
- At the point of sale, comply with program regulations, including HIPAA guidelines, relating to retail operations/dispensing, patient data confidentiality and patient database maintenance
- Ensure “seed-to-sale” (inventory management) software is used in compliance with all regulations
- Provide every effort to find a product for patients if items are not in stock, and report to Retail Manager demand for products we do not carry
- Assist the Director of Retail in the maintenance of a well-stocked and beautifully merchandised dispensary
- Comply with program regulations as it relates to retail operations/dispensing, handling of all patient data and maintaining of patient database
- Maintain store security/building security and cash handling
- Oversee dispensary openings and closings and protect dispensary assets by following Temescal Wellness operational policies and procedures
- Conduct monthly compliance audits of the location and drive corrective action for any non-compliant items
- Conduct or arrange for compliance-related inspections including fire extinguishers, emergency lights, malware, security system, etc.
- Maintain accurate and organized compliance-related records for the facility including visitor logs, security inspection logs, other inspection records and security and compliance related maintenance records
- Assist management in driving incident reporting procedures including information collection, report writing, and timely reporting of said incident to compliance leadership for timely reporting to the regulatory bodies within 24 hours
- Assist state and local governmental auditors and law enforcement with inventory, sales and compliance audits, including monthly (or more frequent) on-site inspections by DPH
- Comply with Temescal’s New Hampshire-specific and national policies and procedures related to confidentiality and non-disclosure
- Assist with facility maintenance and troubleshooting, as necessary
- Provide compliance training to new hires, and identify and provide additional compliance training needs for existing staff to compliance management.
The ability to perform the following physical tasks is also required:
- Standing and walking for extended periods of time
- Bending, squatting and stooping, twisting and bending the neck and waist and reaching above and below shoulder height to grasp objects
- Bending and lifting loads of up to fifty (50) lbs.
- Using hands for grasping, pushing, pulling and fine manipulation
Assist with any other tasks or responsibilities assigned by the Retail Manager.
Requirements:
- Applied knowledge of high-volume retail sales best practices, especially the sale of regulated consumable and health products.
- Ability to learn, operate and administer software relating to inventory control/electronic tracking, point of sale and business operations (e.g., inventory management software)
- Strong written and oral communication skills, and ability to effectively interface with a large, diverse population of patients, team mates, vendors, regulators, community members, and other stakeholders.
- Ability to thrive and effectively manage time in a challenging start-up environment: being adaptable to regulatory changes, building team rapport, disciplined adoption of standard operating procedures, identifying inefficiencies and contributing to the continuous improvement of operations.
