Position Summary:
The Retro Project Coordinator plays a crucial role in supporting project managers and ensuring the seamless execution of commercial retrofit projects. This position requires exceptional organizational skills, strong communication abilities, and a detail-oriented mindset. The Project Coordinator will serve as a liaison between the project team, customers, subcontractors, and accounting to ensure all project-related tasks are completed efficiently and effectively.
Key Responsibilities:
Customer & Communication Management
Serve as the initial point of contact for customers, ensuring a professional and informative experience from project inception.
Provide status updates to customers, keeping them informed on project timelines, progress, and any changes.
Follow up with customers after job completion to ensure satisfaction, address concerns, and close out projects effectively.
Project Coordination & Administration
Obtain and manage permits required for HVAC and plumbing retrofit projects, ensuring compliance with local regulations.
Act as the point of contact for subcontractors (POC Subcontracts) to facilitate communication, scheduling, and documentation.
Assist with Work-in-Progress (WIP) billings, ensuring accurate and timely invoicing.
Support the team with RRNC emails, keeping communication streamlined and organized.
Accountability & Process Management
Serve as the CRM Coordinator, ensuring all required project checklists and tasks are completed before moving forward.
Set clear expectations for project execution and hold all stakeholders accountable for deliverables.
Act as the bridge between the project team and accounting, ensuring financial processes are aligned with project progress and expectations.
Skills & Qualifications:
Experience in HVAC/Plumbing industry preferred, particularly in commercial retrofit projects.
Strong organizational and multitasking skills with the ability to manage multiple projects simultaneously.
Excellent written and verbal communication skills for clear and effective interaction with customers, vendors, and internal teams.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and project management software.
Strong attention to detail and problem-solving abilities.
Ability to work independently while maintaining accountability within a team setting.
