Job Summary
Temple Symphony Orchestra (TSO) seeks a part-time Executive Director to oversee administrative operations, marketing, concert logistics, donor relations, and board support. This role ensures the smooth execution of concerts and events, fosters community engagement through marketing efforts, and supports the organization’s mission to entertain, educate, and enrich the cultural life of Central Texas by bringing high-quality symphonic music to the community.
Responsibilities
I. Board of Directors Support
- Prepare board meeting agendas, minutes, and financial reports.
II. Financial Management
- Maintain accurate financial records and provide them to the accounting team monthly.
- Ensure timely payroll processing for salaried and hourly employees.
- Collaborate with the personnel director to provide musician rosters to the accountant.
- Annually prepare and distribute tax forms (1099, W-2) and donor acknowledgment letters.
- As needed, address musician inquiries related to tax documentation and payments.
III. Administrative Tasks
- Pick up and manage organizational mail.
- File and log invoices and bills in the accounting spreadsheet.
- Update donor and ticket purchaser databases, ensuring timely communication and acknowledgment.
- Respond to phone calls and emails in a timely and professional manner.
IV. Concert and Artistic Operations
- Facilitate guest artist contracts, travel, and accommodations as directed by the Music Director.
- Prepare concert venues, including organizing ticket sales, providing “Will Call” services, coordinating ushers, and arranging decorations.
- Maintain records of attendance and income for reporting purposes.
- Plan and execute social events as directed by the board.
V. Ticketing
- Oversee the ordering, distribution, and record-keeping of season and individual concert tickets.
- Track ticket sales and maintain records for reporting purposes, including reserved seating for donors.
- Manage ticket sales, including phone and email orders, “Will Call” preparation, and on-site sales coordination.
- Handle ticketing for musicians and coordinate with front-of-house staff.
VI. Marketing and Promotions
- Develop and execute marketing campaigns to promote season tickets, individual concerts, fundraisers, and events.
- Create and manage content on social media platforms, including Facebook, Instagram, LinkedIn, and Nextdoor, as well as the TSO website.
- Design and disseminate posters, flyers, and other promotional materials.
- Collaborate with graphic designers and printers as needed for marketing materials.
- Schedule and oversee email campaigns and direct mailings to advertise concerts and events.
- Manage communication with ticket purchasers, including developing and mailing tickets.
- Engage with the community to increase awareness of TSO’s mission and events.
VII. Programs
- Coordinate the production and distribution of concert programs, ensuring sponsor recognition and updated donor lists.
- Organize "front of house" operations, including concert hall preparation and program delivery.
- Send post-concert materials, including programs and invoices, to student ticket program sponsors.
VIII. Reporting
- Submit quarterly Broadcast Music Inc. (BMI) reports, including attendance figures, program notes, and income from ticket sales.
IX. Grants and Fundraising
- Assist with the preparation, tracking, and submission of grants.
- Promote and support fundraising events and campaigns, including development of marketing materials and tracking of donor contributions.
X. Additional Duties
- Represent the Temple Symphony Orchestra at all performances and related events.
- Complete other tasks as assigned by the President or Board of Directors.
- Develop administrative reports to inform the board of grants, funding progress, and organizational trends.
- Facilitate communication between the board and the organization.
Requirements
- Proficiency in Microsoft Office Suite, including Excel.
- Experience with social media platforms and website management.
- Strong organizational, project management and multitasking abilities.
- Excellent interpersonal and communication skills (oral and written).
- Ability to manage competing priorities and meet deadlines.
- Experience with database management and financial record-keeping is preferred.
