Job Summary:
We are seeking a versatile and highly organized Remote Office Administrator to work directly with the Owners of a group of family owned businesses. The successful candidate will play a critical role in overseeing financial record-keeping, light scheduling, customer communication, and administrative tasks across these businesses.
This is a remote, work from home position. The company is located in Charlotte, NC.
Key Responsibilities:
- Financial Management and Accounting: Reconcile bank statements, maintain accurate records in QuickBooks, ensure correct coding of business expenses, and manage timely payments of credit card transactions for all three brands.
- Insurance and Audit Support: Track vehicle and business insurance renewals, assist in audits, and manage vehicle registration and insurance renewals.
- Commission and Job Costing: Calculate commissions for sales teams, handle material payments, and track job costs for accurate project reporting.
- Scheduling and Customer Relations: Assist with scheduling service appointments, customer communication, and project installations.
- Accounts Receivable and Tax Preparation: Manage invoicing and AR, track outstanding payments, and collaborate with external accountants for tax preparation.
- Administrative and Reporting: Oversee light administrative tasks such as filing, document organization, generating operational and financial reports, and maintaining office systems for all brands.
- Inventory and Office Equipment Management: Support inventory management of supplies and ensure the efficient operation of office equipment across all brands.
Qualifications:
- Required:
- Quickbooks experience
- Ability to manage multiple responsibilities across brands.
- Excellent communication and customer service skills.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office Suite (Excel, Word) and cloud-based systems.
- Preferred:
- Previous experience in accounts receivable or business administration roles.
