This is a supervisory position in the Personal Care Management (PCM) department within Community Services. The program provides support, training and coaching to the Quality Assurance/ Document Imagine, and Prior Authorization department staff. Responsible for supervising all activities and personnel associated with performing tasks and work processes assigned to the group. Actively participate as a member of the department management team and the larger organization in support of business objectives.
Essential Duties
Staff
Provide mentorship to newly hired staff for the first year on quality, productivity and work culture
Provide support and training to other staff (e.g. answer questions, review of processes, etc.)
Cross-train and build redundant capabilities within team
Supervise daily activities to ensure individual productivity
Create yearly performance reviews with informal quarterly feedback
Operations
Manage staff and workload to complete work in timely and accurate manner
Develop, measure, and report meaningful key metrics
Identify, design, and create process documentations, training materials, and test, based on the MassHire (MH) contract and regulation
Oversee that all consumers have active Prior Authorization. Monitor extensions and prevent as much as possible. Report issues to Program Manager
Oversee the Community Services records management system and provide for the most efficient workflow process across all programs, including document processing to the consumer and/or family
Oversee quality including reporting as required by program contracts and regulations, and best practices
Oversee that requests for new Prior Authorizations are properly submitted, according to rules and regulations, 45 days after Date of Inquiry or 21 days prior to PA End date for FFS consumers and One Care plans
Insure requests for SCO renew prior authorizations are timely and well in advanced of PA end date
Administratively process transfers to and from Tempus PCM. Obtain new PA or end current PA
Oversee process FFS termination according to MH contract
Oversee integrated plan program closures
Oversee transition planning for consumers who are requesting PCA program closure
Support other department functions as necessary
Communication
Participate as part of the PCM Team lead group to stay current with PCM department functions
Lead department meetings
Liaise with other departments as necessary
Serve as point of escalation for all Integrated Care Plans
Encourage and provide free flow of bi-directional communications
Other
Support overall mission and objectives of Tempus Unlimited
Must report all suspected incidents of consumer sexual abuse, physical abuse and neglect to the Disabled Person Protection Commission (D.P.P.C.)
Perform other duties as assigned by PCM Operation Manager

Required Experience
At least 2 years of supervisory experience
Education
High School Diploma. Some college helpful

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
