Title: Carson Springs Office Coordinator Team: Conference Centers
Group: Mission Support Group Work Location: Conference Center
General Classification: Ministry Assistant (Non-Exempt)
Immediate Supervisor: Conference Center Manager
Principal Function: Provides administrative support for the assigned Conference Center.
Essential Functions: (Employee must be spiritually, physically, mentally, and emotionally able to fulfill these assignments and tasks to fill this position.)
- Conduct assigned ministry with “Christ-Like Servant Spirit,” guided by TBMB mission, priorities, strategies, and goals.
- Contribute to all phases of responsibilities to the Mission and Objectives of the organization.
- Exercise discipline to complete tasks and work alone with general supervision.
- Provide support and assistance to assigned group and other groups within the organization, while building and maintaining positive working relationships.
- Travel occasionally to various events and work overtime and irregular hours, as necessary.
Responsibilities include, but are not limited to:
- Work with conference center manager and assistant manager to market and promote conference centers including making direct contacts via internet and direct mailings.
- Prepare and submit monthly operations reports to TBMB and properties team.
- Coordinate staff employment process including onboarding, drug screens, I-9, E-Verify, and other required documents in coordination with TBMB Human Resources office. Maintain employee records of equipment assignment (keys, computers, etc.)
- Coordinate staff payroll process using current system in coordination with TBMB Human Resources.
- Receive and sort daily mail, manage daily financial deposits, report and manage petty cash.
- Receive payables and prepare check requests.
- Maintain current files of payables and receivable reports, licenses, and permits.
- Submit guest insurance forms, claims to accident insurance company and incident reports to TBMB and properties team.
- Process ongoing communication regarding all ministry needs and personnel as appropriate. Respond to incoming calls and emails and initiate contacts as directed.
- Enter data in TBMB communications and database systems as appropriate concerning calendaring, resources, support needs, securing proper approvals as needed.
- Monitor budget accounts as directed.
- Perform all other duties as needed or assigned.
- Schedule and manage Conference Center front desk personal.
- Schedule groups and send reservation agreements/packets.
Qualifications
Physical Requirements for Individual in Position:
- Continuously sits at desk utilizing computer and phone. Occasionally stands and walks.
- Frequently bends/stoops, pushes/pulls, identify and distinguish colors.
- Occasionally squats, walks extended distances, reaches above shoulder, kneels, balances, lifts, and carries up to 50 pounds.
Preferred Qualifications for Applicants:
Credentials and experience:
- Education: HS diploma, G.E.D., two years plus of college
- Experience: One to three years related work experience
Knowledge and Skills:
- Proficiency in Microsoft Office Suite
- Strong written and verbal communication skills
- Knowledge of general office skills and procedures
