Summary
The Financial Aid Coordinator exercises delegated authority with responsibility for all aspects of the financial aid process, reporting directly to the president and working in conjunction with the Tennessee Board of Regents (TBR) Shared Services Center. The coordinator is responsible for ensuring all financial aid processing functions are provided in a timely and accurate manner and in compliance with all applicable institutional, TBR, state and federal regulations, policies and guidelines. The coordinator manages the certification process for Veteran Education Benefits, administers state and federal aid programs, ensures reconciliation of financial aid accounts, and facilitates financial aid presentations. This position requires travel between TCAT Shelbyville teaching location and financial aid events within the service area.
Minimum Qualifications
SALARY RANGE: $41,727 to $54,251 annually, commensurate with experience and TBR/Tennessee College of Applied Technology salary guidelines.

Minimum Qualifications
- Bachelor’s degree in business administration or related field from an accredited institution and 3 years of approved work experience in accounting or financial processes within the last 7 years. A comparable combination of education and related employment experience may be considered.
- Leadership experience and ability to plan and direct the work of others
- Proficient with Microsoft Office Suite (Word, Excel, Power Point, Outlook)
- Articulate written and oral communication skills
- Public speaking confidence and enthusiasm
- 5 years of work experience in financial aid in higher education.
- Working knowledge of Veteran Education Benefit programs, the Free Application for Federal Student Aid (FAFSA), and other financial aid programs.
- Previous work experience with Banner or comparable student information system.
- Ability to prioritize, implement, and manage multiple projects simultaneously.
- Ability to effectively utilize Microsoft Office, TEAMs, and basic computer software related to the occupation.
- Ability to work with diverse populations, establish and maintain effective interpersonal working relationships and to deal tactfully with students, faculty, staff, and the public.
- Ability in typing, duplication, filing, preparation of reports, record keeping and numerical accounting skills. Familiarity of income tax forms, financial documents, and transcripts.
- Strong customer service skills; effective oral and written communication skills; and excellent organizational and planning skills.
- Ability to express ideas clearly, concisely, and convincingly.
- Ability to exercise good judgment in evaluating situations, making decisions and problem solving.
- Ability to facilitate student information events and provide presentations in large or small group settings
- Physical ability to lift 30 lbs. and to move about the facility to perform all occupational duties, with or without accommodation.
- Maintain valid driver’s license and ability to operate a state vehicle to travel within the service area.
- Maintain working knowledge of the Free Application for Federal Student Aid (FAFSA) and aid programs; Dual Enrollment Grant, Federal Work Study, Pell, Trade Adjustment Assistance (TAA), Tennessee Student Assistance Award (TSAA), TN Promise, TN Reconnect, and Wilder-Naifeh Technical Skills Grant.
- Maintain Student Veteran Files, VA catalog, and working knowledge of Post-9/11 GI BILL, Veteran Education Benefits Administration, and TN state specific Tuition Reimbursement Programs.
- Maintain working knowledge of all systems related to financial to aid processing: Banner, eGRands, EDExpress, EDConnect, and Enrollment Manager.
- Ensure that financial aid program materials, communications, and process steps are current, easy to follow, and effectively communicated in person, by telephone, email, virtual contact, and via the institution’s website.
- Train student services staff and ensure that financial aid process steps, veteran education benefits, and program requirements are communicated to current and prospective students clearly and in a timely manner.
- Facilitate review of student applications, document verification, resolution of conflicting data, determination of financial need, and awarding in accordance with federal, state, and institutional regulations and policies.
- Evaluate student Satisfactory Academic Progress (SAP) to determine continued eligibility.
- Responsible for review of military transcripts and coordination of prior learning assessments with TCAT faculty.
- Coordinate with TBR Shared Service Center to ensure appropriate system data is pulled and used to complete required annual reports and submissions: FISAP, IPEDS, Program Participation Agreements (PPA).
- Ensure accuracy, submission, and maintenance of records and reports as required by the institution, TBR, as well as local, state, and federal agencies.
- Facilitate financial aid presentations for FAFSA workshops, high school presentations, and new student orientations.
- Build and maintain relationships with support agencies that assist students with remaining need and community services (American Job Center, Tennessee Department of Labor, Tennessee Opportunity Programs (TOPS), Veterans Administration, Vocational Rehabilitation Services, and WIOA Workforce Programs).
- Coordinate drawdown requests, student terminations and return of Title IV (R2T4) funds with the TBR Shared Service Center.
- Serve as main point of contact for the Banner student information system (SIS) and coordinate all program builds with the Tennessee Board of Regents (TBR).
- Serve as the institution’s Veteran Affairs School Certifying Official (SCO)
- Serve on the Scholarship Committee and Graduation Committee.
- Participate in in-service training, workshops, and other programs which provide professional growth.
- Attend all required staff meetings.
- Work a minimum of 37.5 hours per week (exempt); additional hours may be required, to fulfill the duties of the position and needs of the institution.
- Other duties as assigned by administration.
