Job description
The Tennessee Dental Association (TDA) is seeking an experienced meetings professional who can take the Music City Dental Conference to the next level and drive our member education and events. The TDA Meetings Manager works with staff and volunteers to produce live and virtual continuing education for dentists and the whole dental team.
Responsibilities include:
- Develop and implement an annual plan of educational offerings for members for live and virtual events.
- Serve as the point of contact for TDA education and events taking ownership of these vital member programs.
- Manage all meeting planning efforts for the Music City Dental Conference: overseeing RFP process and contracts, coordinating meeting room requirements, working with various vendors (i.e. A/V, catering, event app etc.), creating hand-outs, and evaluations.
- Oversee development of pre-registration and onsite registration processes.
- Manage travel and hotel accommodations for speakers and guests.
- Coordinate ancillary meeting arrangements.
- Provide on-site management of the conference and other events. Develop staff operations schedules for all live meetings.
- Work with the Executive Director and Director of Finance to develop and manage meeting budgets.
- Work with communications staff to prepare and distribute event marketing materials.
- Distribute and collect speaker agreements and materials.
- Create, distribute, and collect course evaluations.
- Ensure all activities comply with ADA CERP guidelines. Manage all ADA CERP documentation and complete annual reports for reaccreditation.
- Oversee the TDA leadership development program.
- Act as staff liaison to planning committees including keeping minutes.
The ideal candidate will:
- have a bachelor's degree with a minimum of 3-5 years of experience in meeting planning.
- be a self-starter who will take ownership and work in collaboration with a team.
- be able to manage multiple projects, meet deadlines, and enjoy finding solutions.
- have strong communication skills.
- be able to attend meetings and events occasionally outside of regular business hours.
- Proficient in Microsoft Office and comfortable learning new systems.

The TDA is currently operating with a hybrid telecommuting schedule. It is expected that the new hire will work predominately from the TDA office through the initial onboarding. Any current or future telecommuting policies/schedules are subject to change and the TDA retains the right to modify such policies.
