How you will make a difference in this role:
As the Executive Administration Assistant, you will provide direct support to the Commissioner of the Department of General Services (DGS), acting as the primary liaison for high-level stakeholders and DGS leadership. This role requires exceptional professionalism, attention to detail, and strong organizational and communication skills. In this role, you will coordinate meetings, develop agendas and presentations, manage the Commissioner’s schedule and travel arrangements, and prepare briefing materials to ensure informed discussions. Additionally, you will maintain records and facilitate communication with internal and external stakeholders.
This position reports to the Commissioner of DGS. The position has a hybrid work schedule, with varying days in the office, working from home, and some travel. This position has a monthly starting salary of $5,591–$7,253 (determined by experience). Examples of Duties and Responsibilities:
- Provide executive-level administrative support to the Commissioner and coordinate calendars
- Act as a liaison to the Office of the Governor, Executive Branch departments and agencies, legislative officials, State and local law enforcement organizations, and other entities
- Research and assemble information and materials needed by executive leadership
- Prepare and maintain a variety of confidential records and reports of average to complex difficulty
- Consistently use professional written and verbal communication
- Schedule meetings, create professional meeting agendas, document decisions, and facilitate follow-up on action items
- Coordinate travel and associated schedule logistics
- Create PowerPoint presentations and provide technology support for meetings
- Ensure compliance with relevant policies, procedures, and regulations
- Maintain correspondence and documentation related to internal and external stakeholders
- Deliver excellent customer service to clients and resolve inquiries or issues promptly
- Serve as a liaison between the agency and the general public, persons in other State departments, agencies, and divisions, as well as officials, government representatives, and entities outside the organization to explain matters of procedure and regulation
Requirements:
- Completion of a bachelor’s degree from an accredited college or university
- Three (3) years of experience providing executive administrative assistant duties in the private or public sector
- Proficiency with Microsoft TEAMS, Microsoft 365 suite, including Microsoft Excel, Word, and PowerPoint at an advanced level, and Adobe software
- Superior organizational and problem-solving skills
- Excellent verbal and written communication skills
- Exceptional customer service skills
- Adaptable to evolving organizations and change
