What are the responsibilities and job description for the Front Desk Receptionist position at Tennessee Education Lottery?
Position Purpose:
The primary purpose of this position is to manage the main reception area and serve as the official greeter for the Tennessee Education Lottery (“TEL”) Corporation. The responsibilities for this position also include receiving and routing a high volume of calls in a friendly and courteous manner, answering routine questions from players and the public and logging the calls into the Dashboard, as well as performing other clerical duties for the TEL.
Major Tasks, Responsibilities and Key Accountabilities:
The following duties are normal for this job and should not be construed as exclusive or all-inclusive. Other duties may be required and assigned.
¨ Reception/Front Desk Operations
o Operates a multi-line telephone system; answers inside and outside calls; provides assistance to callers by courteously answering questions, and/or requests, logging player calls into the Dashboard and adheres to established TEL front desk procedures
o Greets and assists visitors, customers, vendors and employment candidates; refers them to the appropriate TEL employee for escort
o Maintains the visitor’s logbook and issues visitor badges (also ensures badges are returned)
o Schedules bookings for conference rooms, and sends confirmations of date, time, and other necessary information to the requesting party
o Assists in the coordination of medics and/or security personnel in emergency situations
o Schedules dates for public viewing of TEL automated drawings upon request, and notifies appropriate TEL Vice Presidents and building security of arrival dates
¨ Administrative and Clerical Support
o Assists Corporate Services team members and other TEL departments with clerical support: stuffing envelopes; reviewing invoices; filing; typing correspondence; invoice tracking; copying and spreadsheet data entry
o Serves as backup to mailroom, performing mailroom duties per the established procedures
o Assists with preparations for TEL events by loading, unloading, and setting up as necessary
o TEL projects as assigned
Education and/or Experience:
High School diploma (or GED) required.
Minimum of one year of receptionist and/or administrative support experience strongly preferred; or any equivalent combination of education, training and experience, which provides the requisite knowledge, skills and abilities for this position.
Other Qualifications:
Must possess exceptional verbal communication skills with an ability to express oneself clearly, concisely and tactfully; exercise sound judgment in evaluating situations and making decisions; be flexible, work with interruptions, and shift priorities of work as required; demonstrate a willingness to serve and assist others; establish and maintain effective working relationships with all employees of the corporation; posses basic computer skills (preferably Microsoft Office Suites) and have experience operating a multi-line telephone system; answering inside and outside calls and providing assistance to callers
