Our global scientific client based in Washington D.C. is looking to add a Project Manager (Non-IT) to add to their team to support a global event series. The role is responsible for ensuring seamless coordination of multiple symposia, managing timelines, and stakeholders to ensure our client delivers a high-quality event series. The role is responsible for ensuring seamless coordination of multiple symposia, managing timelines, and stakeholders to ensure our client delivers a high-quality event series. The Project Manager should have strong project management experience (preferably in events), excellent communication skills, attention to details, confidence in interacting with senior executives, and the ability to thrive in a fast-paced, dynamic environment.
- Location: This is a hybrid position with a schedule that REQUIRES working onsite Tuesdays & Wednesdays (Mondays, Thursdays, and Fridays are remote).
- Work Authorization: Candidates are required to be legally authorized to work in the United States without a sponsoring employer indefinitely. At this time we can only accept the follow work authorizations: US Citizen, GC EAD, GC Holders, TN Visas.
- Duration: W2 Contract- 18 months. No C2C or 1099 arrangements.
Event Strategy & Planning
- Develop and execute a comprehensive project plan for the event series.
- Define, document, and track all deliverables, and successful metrics in alignment with business goals.
- Secure and manage the six separate MOUs with the host institutions and coordinate the agreement of sessions with the Meetings team for the events series.
- This involves coordinating and managing the multiple edits with stakeholders and legal councils from our client and host institutions.
- Coordinate with stakeholders to determine event scope, target audience, and key messaging.
- Schedule weekly team meetings, take meeting notes, and assign/track action items.
- Develop and maintain symposium timelines (e.g., registration, marketing, communications), milestones, and deliverables.
- Oversee vendor management and production schedules to ensure they are built into the timeline.
- Implement risk management strategies to address potential challenges for each location.
- Track registration for all 8 symposia against defined goals (count and revenue)
- Process all travel and expense reimbursements for all external speakers (approximately 80) to ensure compliance with our client’s policies.
- Collaborate with an internal team, executive sponsors, and ELT to provide regularly, comprehensive updates on each Symposia and the overall project.
- Troubleshoot issues and implement solutions swiftly with key stakeholders.
- Conduct post-event debriefs with internal and external stakeholders for each symposium, gather attendee and stakeholders’ feedback.
- Analyze event performance against KPIs and provide improvement recommendations ahead of the next symposium.
- Document best practices to enhance efficiency and effectiveness from one symposium to the next.
- Strong understanding of event logistics, vendor management, and budgeting.
- Experience managing international events or multi-city event series is preferred.
- Organizational, Communication, and problem solving skills.
- Poise and confidence in interacting with different stakeholders (Executives, Staff, Partner Institutions, External Speakers, Vendors, etc.)
- Proficiency is Project Management Tools such as Asana
- Proficiency in Event Platforms such as Cvent
- Proficiency in Excel & PowerPoint
