Job Overview
The office assistant will be responsible for ensuring smooth day-to-day operations in the office through exceptional organizational, communication, and administrative support. Success in this role requires meticulous attention to detail, proactive problem-solving, and the ability to manage multiple priorities in a fast-paced environment. The role also involves collaborating with team members and external partners to support the overall efficiency and effectiveness of office functions. The position reports to the People Operations Specialist.

Key Impacts and Outcomes
Maintain an organized and well-stocked office by managing and ordering supplies as needed
- Assist with office maintenance and support safety / security protocols, reporting any maintenance needs or safety concerns to their manager and / or the building's property manager
- Ensure the office is clean, organized, and welcoming for employees and visitors
- Coordinate and own relationships with facilities, company vendors, and property management (e.g., night cleaning vendors, etc.)
- Assist with the onboarding of new employees, ensuring they are equipped with workstation and equipment set-ups and facilitating their comfort and acclimation to our new environment
- Partner with the IT team to manage employee equipment, including collecting, storing, and reconfiguring devices
- Coordinate and facilitate internal and external meetings, including booking conference rooms, arranging catering, and preparing meeting materials
- Maintain confidentiality and handle sensitive information with discretion and professionalism
- Assist as required with the planning and executing of company events and team-building activities
- Greet interview candidates and office visitors, creating a positive experience and strong first impression
- Receive, sort, scan, and distribute incoming mail and deliveries and manage outgoing mail
- Identify opportunities for process and office management improvements and design and implement new systems
Preferred Qualifications
Ability to work in-office 15-20 hrs. per week (Mon-Wed) with occasional need for extended hours (Thu or Fri)

Our salary ranges are determined by role, level, and location. This salary range reflects the minimum and maximum target for new hire salaries for the position in the SF Bay Area. The successful candidates starting salary will be determined based on permissible, non-discriminatory factors such as skills, experience, interview performance, and geographic location.
