The Front Office Administrator plays a pivotal role in ensuring the smooth operation of our dental practice. This full-time role is integral to creating first impressions and sustained interactions with our clientele, making it a mission-critical position. This job is not a remote position, requiring a regular on-site presence at our office location.

We are seeking a highly organized, enthusiastic, and dedicated individual to fill this role. The successful candidate will be the face of Terravita Smiles, embodying our values and dedication to customer service. Ensuring seamless daily administrative operations, the Front Office Administrator is key to enhancing patient experiences and supporting our dental services team efficiently.

Duties and Responsibilities

Must Know Dentrix

  • Manage day-to-day operations of the dental front office.
  • Greet and welcome patients and visitors in a warm, friendly manner.
  • Handle patient appointments scheduling, changes, and cancellations.
  • Verify and update patient information in the dental practice software.
  • Process insurance claims and liaise with insurers to ensure timely reimbursement.
  • Maintain confidentiality and security of patient health information in compliance with HIPAA regulations.
  • Coordinate with dental staff to manage daily workflow and patient care.
  • Handle billing, invoice processing, and payment collections accurately.
  • Prepare and manage patient charts and documentation for dental procedures.
  • Resolve patient issues and concerns promptly and professionally.
  • Order and manage office supplies inventory, ensuring that essentials are always available.
  • Assist in the organization of office events and functions.
  • Conduct follow-up calls for patient appointments, as necessary.
  • Implement office policies and procedures, periodically updating them in consultation with healthcare professionals.
  • Maintain a clean, organized, and professional front office environment.
Requirements
  • Proven experience as a Front Office Administrator, ideally in a dental or medical office environment.
  • High school diploma or equivalent; further certification in Office Management is a plus.
  • Strong understanding of office management and daily operations in a healthcare setting.
  • Excellent organizational and multitasking abilities.
  • Robust communication and interpersonal skills.
  • Solid knowledge of office procedures and basic accounting principles.
  • Proficiency in MS Office and other office management software (e.g., ERP).
  • Ability to handle sensitive information confidentially.
  • Capable of working independently as well as part of a team.
  • Strong attention to detail with a commitment to accuracy and quality.
  • Experience handling dental office equipment and strong knowledge of dental terminology.
  • Professional appearance and courteous manner.
  • Availability to work typical office hours, with occasional overtime as needed.

Salary : $22 - $27
