So, what will the Executive Assistant to the Secretary of the Navy at Terrestris do?
As the Executive Assistant to the Secretary of the Navy, you will provide high level administrative support in the workplace, including taking calls, scheduling meetings, managing executive requests, and other office duties. You may also oversee office functions and supervise other office employees. This position requires excellent verbal communication skills, good judgement, and strong time management skills to meet deadlines. This job is 100% on-site at the Pentagon. All candidates must be local or willing to relocate at their own expense.
What does a typical day look like for the Executive Assistant to the Secretary of the Navy?
You will:
· Answer phones calls and take messages.
· Welcome and interact with all visitors.
· Manage and schedule appointments.
· Arrange meetings and other events.
· Manage mail/fax communications.
· Manage traditional paper and/or electronic filing systems.
· Perform basic bookkeeping/clerical duties.
· Set and manage the daily schedules and calendars.
· Prepare and/or edit documents, such as expense reports, memos, and invoices.
· Create spreadsheets, manage databases, and prepare presentations.
· Negotiate with vendors.
· Order necessary office supplies.
· Review incoming documents.
· Conduct research.
· Train and/or supervise clerical workers.
What qualifications do you look for?
You might be the professional we’re looking for if you have:
· An Active Top-Secret Clearance.
· Excellent verbal and written communication skills.
· Excellent organizational skills and attention to detail.
· Excellent time management skills with a proven ability to meet deadlines.
· The ability to function well in a high-paced and at times stressful environment.
· Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
· The ability to type a minimum of 50WPM.
· Advanced proficiency with Microsoft Office Suite or similar software and the ability to learn new or updated software.
· A high school diploma; Bachelor’s degree in Business Administration or a related field is preferred.
· At least four years of related experience.
· The ability to sit for prolonged periods of time while performing work on a computer.
· The ability to lift up to 15 pounds.
· Executive assistant at a Flag officer level or higher, SES, GS14-15 level is preferred.
