Summary / Position Purpose:

The Contract Administrator will play a critical role in managing customer and supplier contracts. This includes coordinating the approval process, overseeing contract workflows, maintaining the contract management system, and responding to audit and information requests. The position involves collaboration with Sales, Finance, Product Management, and Legal teams to ensure contracts are accurately and efficiently processed. Success in this role requires exceptional organizational skills, attention to detail, strong communication abilities, and the capacity to manage multiple priorities effectively.

Essential Duties, Functions And/or Responsibilities

  • Coordinate the contract review process by receiving contracts, routing them to relevant departments for review, consolidating feedback, and facilitating final signatures.
  • Manage a high volume of emails and communications from various teams across the company, ensuring timely responses and accurate tracking of contract-related requests and updates.
  • Enter contract details and upload documents into the contract management system.
  • Extract information from the contract management system to respond to audit inquiries and ad hoc internal stakeholder requests.
  • Provide updates to departments regarding contract statuses, approaching deadlines, and other key milestones.
  • Track and monitor task due dates, contract deadlines, and renewal dates to ensure timely action.
  • Generate quarterly/monthly reports and create custom reports as needed.
  • Monitor and update the system of record with contract pricing.
  • Indirectly responsible for product quality
  • Other duties as assigned

Qualifications

Education and/or Work Experience Requirements:

  • High school diploma or GED is required
  • Previous experience in administrative or project management roles is an advantage.
  • Strong computer proficiency, with experience in Microsoft Office Suite (Excel, Word, etc.).
  • Ability to work independently and manage daily responsibilities effectively.
  • Exceptional organizational and multitasking skills, with the ability to manage a high volume of email communications while maintaining accuracy and prioritization.
  • Strong interpersonal skills and the ability to collaborate with internal and external stakeholders.
  • Excellent written and verbal communication skills, including the ability to read, analyze, and interpret contracts, technical documents, and regulations.
  • Proven ability to draft and present business reports.
  • Skilled in effectively presenting information and responding to inquiries from managers, sales representatives, and customers.

Physical Requirements

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.
