ECP's in-house management and leasing staff work with a variety of third-party brokers and property management groups to execute defined operating and investment objectives.
ASSISTANT PROPERTY MANAGER PRIMARY RESPONSIBILITIES
Financial
- Responsible for coding non-recurring or unusual payables to appropriate property and g/l code
- Approve invoices daily
- Follow up on outstanding AR weekly and prepare AR report twice monthly
- Transfer additional billable charges to Accounting as incurred
- Ensure accuracy of rent rolls and rent updates on a monthly basis
- Assist in preparation of property narratives, accruals, and variance reports
- Assist in preparation of annual budgets and reforecasts
- Assist in preparation of CAM and escalation calculations
Administration
- Assist PM/SPM in supervising daily activities of Property Administrator
- Keep PM/SPM apprised of all activity/issues at all properties in assigned portfolio
- Prepare agendas for monthly asset review meetings
- Prepare all legal notices – default, NNR, etc.
Leasing/Tenant Relations
- Respond to tenant inquiries and service calls
- Draft lease commencement letters prior to commencement date for review by PM/SPM; route for signatures and track/follow up as needed for completion. Send to Leasing department after execution.
- Assist Leasing Director with showing space as needed and coordinate marketing activity
- Prepare lease abstracts within 48 hours of execution notification; submit to PM/SPM for approval; route to Leasing/Accounting for final input
- Prepare tenant correspondence and Workspeed/Appfolio announcements
- Coordinate and execute annual tenant appreciation events and new tenant gifts
- Coordinate holiday tenant baskets and holiday lobby décor
- Coordinate tenant move in and move outs (keys, signage, walks, forms, janitor, Appfolio, etc.)
Building Maintenance
- Supervise in-house and third-party maintenance personnel
- Maintain relations with vendors and/or recommend replacement services (or issues with service quality) to PM/SPM
- Make recommendations for repairs and improvements to PM/SPM and work with vendors to bid on the work as needed
- Conduct weekly inspections on all properties and full monthly property inspections, notify SPM of the call outs and prepare subsequent work orders or delegate to appropriate vendor
- Prepare project setups and project summaries as directed by PM/SPM
- Review contracts prepared by PA prior to circulation for execution
- Assist with special projects as needed
- Support PM/SPM in all aspects of managing all properties in portfolio

- MRI experience desirable, not required
Minimum Qualifications
- Four years’ commercial property management experience.

This job posting may span more than one career level.
In addition to base salary, this job may be eligible to participate in our corporate discretionary bonus program, and depending on the position offered, it may also be eligible to receive a commission. To provide greater transparency to candidates, we share base pay ranges for all California based jobs. We set standard base pay ranges for all roles based on function, level, and geographic location, benchmarked against similar industry companies. Final offer amounts are determined by multiple factors including skills, depth of work experience and relevant licenses/credentials, and may vary from the amounts listed below.
The base pay range for this position is: $75,000.00-$80,000.00 Bonus
