Position Purpose and Objectives
The Documentation Specialist is responsible for collaborating with various departments and external partners to draft and publish effective procedures, forms, and reference materials. This includes accurately capturing processes, controls, policy alignment, and regulatory requirements, while identifying process gaps and proposing alternatives to enhance operational efficiency. The primary role of the Documentation Specialist is to create and implement standardized organizational procedures and guidelines, catalog and manage documents for easy access, write and edit clear procedures and guidelines, consult on process improvement projects, and ensure all documentation is accurate, up-to-date, and user-friendly.
Major Duties and Essential Functions
- Create and implement a standardized approach for organizational procedures and guidelines.
- Catalog, organize, and manage documents to ensure easy access and retrieval.
- Write, edit, and format clear and concise procedures, guidelines, quick reference guides, and FAQs.
- Serve as a consultant on process improvement projects, creating necessary technical resources for successful rollouts.
- Partner with subject matter experts and other strategic partners to prioritize and implement documentation resources for key areas and processes.
- Ensure documentation is accurate, up-to-date, and easily digestible.
- Gather feedback from users on training materials and procedural documents to identify areas for improvement.
- Collaborate with departments to understand the operations of each area.
- Review documents for ongoing maintenance and updates.

Education:
Two – year college degree or equivalent experience.
Experience:
3-5 years of experience in documentation control or procedure writing.
Prior experience in a financial institution preferred.
