Job Description
The Project Specialist provides administrative and operational support to project teams, ensuring that projects stay on track and meet their objectives. This role involves assisting with project planning, monitoring timelines, tracking budgets, coordinating resources, and maintaining documentation. The Project Specialist works closely with the project team and stakeholders to contribute to the successful execution of medium-scope projects.
Responsibilities:
- Project Support – Assist in developing and maintaining project plans, timelines, and schedules. Support the tracking of project budgets and deliverables.
- Stakeholder Coordination – Schedule and organize meetings with stakeholders and project team members. Document meeting minutes and follow up on assigned tasks.
- Resource Coordination – Help coordinate resources and support logistics for project activities. Maintain accurate records of resource assignments and availability.
- Documentation and Reporting – Prepare and maintain project documentation, including progress reports and status updates. Ensure all project files are organized and up to date.
- Quality Assurance – Assist in monitoring project deliverables to ensure they meet quality standards. Report any issues or discrepancies to the Project Manager.
- Administrative Support – Handle logistical and administrative tasks related to project operations. Provide general support to the project team as needed.
- Learning and Development – Participate in training opportunities to gain knowledge of project management tools and techniques. Develop a foundational understanding of project management best practices.

Minimum qualifications for a Project Specialist I:
- Bachelor’s Degree. An equivalent combination of education and experience may be considered.
- Experience in project management preferred.

- Two years of related experience in project management.
- Strong organizational and time management skills
- Effective communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint)
