SUMMARY:
The Communications Specialist, under general supervision, communicates with graduate students, faculty, and university staff.
DUTIES & RESPONSIBILITIES:
- Maintains the Graduate School’s primary email. Responds in a timely and efficient manner.
- Answers main phone line and transfers calls to appropriate staff.
- Answers basic questions about graduate programs and graduate policies/procedures.
- Processes all mail.
- Maintains front office supplies and equipment.
- Assists with Graduate School projects and events.
- Monitors Graduate School webpages and forms for accuracy and updates.
- Cross-trains with Graduate School Services Coordinator.
- Works closely with admission coordinators regarding documents received.
- Scans and indexes student documents and all other documents for admissions. Aids with document processing for other staff members.
- Creates international document packets and sends confirmation of receipt email to applicant.
- Communicates with international students regarding submitted documents.
- Evaluates international transcripts.
- Responds to inquiries from international students regarding the evaluation process.
- Attends trainings to gain additional knowledge in foreign transcript evaluation.
- Creates and issues the Grad Newsletter weekly. Works with all staff to create.
- Trains and monitors Student Workers/Graduate Assistants in front office work.
MINIMUM REQUIREMENTS:
- Education: Bachelor’s degree or equivalent combination of education and experience.
- Experience / Knowledge / Skills: No prior experience required. Knowledge of word processing and spreadsheet applications. Strong verbal and written communication skills. Strong interpersonal and organizational skills.
- Ability to: Ability to multitask and work cooperatively with others. Ability to present information clearly and concisely.

Knowledge of Banner and Laserfiche
