SUMMARY:
The Program for Minors Coordinator, plans, organizes, directs, and manages day-to-day activities, developing and implementing procedures for the administration of the program to support East Texas A&M University’s goal of facilitating safe and impactful youth programs. This position works under general supervision, with latitude for the use of initiative and independent judgment. Liaisons and works closely with various campus partners.
DUTIES & RESPONSIBILITIES:
- Manage and oversee the approval of all internal and external Camps and Programs for Minors applications.
- Monitor the progress of camp applications through all phases, such as risk assessments, Human Resources (HR) processes, background screening, Child Protection and Clery training, insurance requirements, waivers and all record keeping and reporting compliance.
- Educates and ensures compliance with HR processes for the hiring and termination of camp employees for University Camps and Programs for minors
- Conducts annual background checks of all camp workers (employees, volunteers, independent contractors, volunteers, etc.) for University camps and programs for minors
- Coordinates with all campus partners involved in the Camps and Programs for Minors program (housing, facilities, dining, etc.)
- Develop and maintain training curriculum to educate the ETAMU community and external Camps and Programs for Minors users on University Rule 24.01.06.R1
- Develop and maintain the Camps and Programs for Minors handbook and website.
- Identify areas of improvement needed by programs, including compliance, risk management, operations, logistics, etc. and develops additional resources to assist with the program.
- Schedule and host meetings with youth program sponsors and directors to discuss Camps and Programs for Minors requirements and best practices.
- Serves as the records retention coordinator for Camps and Programs for Minors and provides guidance on records-related issues and management of files in accordance with the Texas A&M University System Records Retention Schedule.
- Develops and maintains relationships with stakeholders.
- Process and oversee billing for services for Camps and Programs for Minors.
MINIMUM REQUIREMENTS:
- Education: Bachelor’s degree or equivalent combination of education and experience.
- Experience: Four years of related experience.
- Knowledge / Skills: Proficiency in word processing, spreadsheet, email and database applications. Excellent verbal and written communications skills. Knowledge of business communications and office procedures. Strong interpersonal, problem solving, and organizational skills. Maintains attention to detail and utilizes sound judgment.
- Ability to: Ability to multitask and work cooperatively with others. Ability to organize and set priorities, maintain records, interpret and prepare reports. Detail oriented with ability to maintain accurate recordkeeping.

- Other Requirements: During peak season may require working after regular hours. All positions are security-sensitive.
PREFERRED EDUCATION / SKILLS/ EXPERIENCE:
Experience with Workday, EMS, Ideal Logic, or other scheduling software. Experience with website maintenance, background check applications, or registration software.
