PURPOSE
This position delivers high-level support for the Associate Provost for Academic Affairs including preparation of agenda submissions for The Texas A&M University Board of Regents and Texas Higher Education Coordinating Board. Provides top-tier customer service and support to other university administrators.
DESCRIPTION
Functional Area 1: Administrative
Percent Effort: 50%
- Prepare agenda items for quarterly board meetings of The Texas A&M System Board of Regents, editing and meticulously proofreading promotion & tenure, new program proposals, faculty development leave, emeritus, and regents professors; edit and prepare submissions to the Texas Higher Education Coordinating Board and all submissions that funnel through the associate provost’s office such as Minnie Stevens Piper nominations. Maintain knowledge and usage of A&M System Written Style Guidelines to ensure the most accurate submissions.
- Anticipate and track internal and external deadlines and the annual calendar of the office, including schedules of the A&M System Board of Regents, Texas Higher Education Coordinating Board, Texas Council of Chief Academic Officers, Chancellor’s office, RELLIS, and related divisions or universities.
- Monitor and process Graduate Education documents (Graduate committee membership, assignment of Graduate Faculty Representatives), maintain records, and perform related tasks.
- Draft and manage correspondence and communications.
- Collect, reconcile, and maintain complex data. Maintain a variety of fiscal, administrative, and academic records and reports.
- Research and analyze administrative requirements for procedures, services, or programs.
- Supervise and train graduate assistants or student workers.
- Provide excellent customer service to guests and employees of the university.
- Research and maintain accurate asset inventory as Alternate Property Officer for ASOVP and AAAVP departments.
- Maintain intermediate proficiency in all Microsoft Office applications, FAMIS, Canopy, Adobe, Teams, Islander Buy, Astra, OneNote, Workday, PowerPoint, Argos, and Laserfiche.
- Establish and manage office procedures and the day-to-day operations of the office.
Functional Area 2: Support
Percent Effort: 45%
- Provide complex administrative support and technical program assistance by facilitating all travel planning and expense reports, correspondence, purchasing, planning, and coordinating daily schedules of meetings and activities, maintaining a computerized calendar for all activities, preparing reports, and monitoring budgets.
- Schedule meetings for the Associate Deans, Undergraduate Council, Graduate Council, University Curriculum Committee, new program launches, Acadeum, and other groups across campus as required to assist the associate provost, taking minutes and attendance.
- Support associate provost and direct reports (Honors, Center for Faculty Excellence, and Study Abroad) with travel planning, coordinating logistical and administrative support, purchasing, student hiring, payment of invoices, and logistics for events, meetings, or other special functions, providing on-site support.
- Assist the president’s office, Academic Affairs, and upper-level administrators with events, commencement, submissions, student hiring, and reports.
- Coordinate and monitor action items and assignments made by the associate provost. Interpret policies, rules, and regulations.

QUALIFICATIONS
- High School diploma or GED
- Seven (7) years of related experience
- Additional education may be considered as a substitute for the minimum experience requirement:
- Associate’s degree with five (5) years of related experience.
- Bachelor's degree with three (3) years of related experience.
- Master’s degree with one (1) year of related experience.
- Knowledge of word processing, spreadsheet, and presentation applications.
- Strong written and verbal interpersonal and communication skills
- Planning and organizational skills
- Ability to multitask and work cooperatively with others
PREFERRED QUALIFICATIONS
- Bachelor’s degree in communication, English, or related field
- Experience in higher education
