The Irma Rangel College of Pharmacy is looking for an Administrative Associate IV to serve as a member of the Finance and Administration team. Required Education and Experience
High school graduation or any equivalent combination of education and experience
Four years of related experience in finance and administration
Preferred Qualifications
Bachelor’s degree in business administration or related field
Five years of professional non-clerical experience in general office accounting or personnel operations
Experience with FAMIS and TAMUS purchasing procedures; managing business operations and supervisory experience
Knowledge, Skills, and Abilities
Ability to work with sensitive information and maintain confidentiality
Working knowledge of word processing, spreadsheet, and database applications
Strong verbal and written communication skills
Strong interpersonal and organizational skills
Maintains professionalism and composure

Responsibilities
Purchasing & Travel: Performs and coordinates purchasing activities required to obtain and service for the College in accordance with all rules and regulations related to purchasing. Assist with shipping and receiving of college packages (FedEx and UPS). Supports departments with delegated procurement needs and training: Provides product/services research and vendor sources; increase awareness and utilization of HUB vendors; promotes adherence to purchasing guidelines and procedures. Coordinate Finance & Administration meeting and minutes. Knowledge of travel rules and regulations. Assists with travel reconciliation as a delegate and as in general advising for others and sends outstanding travel reminders.
Costing Allocations & Accounting: Assist director with Costing Allocations and PCTs. Assist in creating and maintaining college accounts.
Op erations: Overlooks College vehicles for Kingsville and College Station (scheduling, maintenance, vehicle logbooks, and reconciliation of mileage). Assist with day-to-day business services, such as bank deposits, student reimbursements, Ad Astra scheduling, contract scanning and special projects. Using initiatives, judgments, and experience to perform/relieve for the Office of Finance and Administration routine and administrative matters; assists in developing and/or implementing new or already-established office procedures in the HSC-COP. Creates and maintains accounts.
General Business Services: Overlook student payments of swipe card or badge replacement fees and/or student print accounts. Provides excellent customer service to College with regards to F&A questions and issues. Advises, trains, and assist in supervising office student worker to answer telephone, take messages, or other duties; maintains student worker time sheets to ensure accurate time reports.
