The Administrative Coordinator I in the Office of Academic Affairs at Texas A&M College of Nursing, under general supervision, provides highly advanced administrative support to the associate deans and exercises discretion and independent judgement in coordinating the academic operating processes and activities for the nursing education programs.

Responsibilities:
Administrative Coordination Support Duties - Participates in the planning and execution of administrative academic activities for the nursing education programs and administrative interactions with the faculty and leadership team. Monitors the management processes of the nursing education programs related to curriculum management and course coordination (TAMS, ATI, Exxat, Howdy, and Section Request Systems). Analyzes requirement for projects or initiatives such as assisting in the implementation of the new clinical placement and compliance tracking programs. Provides technical information regarding administrative procedures for course section requests including relevant detail to assist students clinical in completing course selection timely for student registration and for curricular review and approval processes in the CARS system. Develops, evaluates, and ensures adherence to academic operation procedures which includes organizing accommodations for student testing, scheduling classroom and exams for courses, tracking students and cohorts, and preparing course schedules. Generate effective leadership communications with faculty and students regarding academic considerations, deadlines, and course schedules. Maintain strict confidentiality concerning highly sensitive information including FERPA and HIPAA. Provides support for faculty search, hiring and evaluation processes. Coordinates with the support staff in the office of academic affairs to record and publish faculty course and committee assignments and faculty resource materials. Collaborate with course leads to maintain an accurate program textbook list and order the same before or by the required deadlines. Support faculty regarding course management including order textbooks for review. Orders textbooks for new faculty. Coordinate workflow with the aid of health education software; manage student schedules, documentation, evaluations, assessments, and grades of programs. Negotiate, compromise, and build buy-in between individuals or groups as needed. Follow established communication channels about inquiries and issues.
Logistical and Administrative Duties - Reviews documents for associate dean and associate director of clinical placement. Provides administrative support for the associate director for academic nursing clinical placement. Coordinates meetings, seminars, and other special events and may provide on-site support. Manages classroom reservations via RoomTraq considering student and faculty needs. Negotiate with staff from other HSC schools as needed to secure appropriate rooms. Maintains the calendar, and schedules appointments for the associate deans for nursing education. Create and maintain the nursing education program schedules with careful attention to out of sync students and other special cases in the curriculum plan. Maintain data congruence between faculty assignments in TAMS, ATI, and Exxat. Schedules meetings, records meeting minutes, and tracks the completion of tasks for various committees. Provides logistical and administrative support for faculty and staff retreats, events, meetings and other special functions for the college. May hire, train and supervise student workers and support staff.
Database, Compliance and Records Management Duties - Coordinates the maintenance of records to ensure faculty documents are uploaded to meet clinical compliance requirements including managing the database for MyNet Learning for faculty and staff. Makes recommendations for process improvements, administrative changes, or new initiatives. Collects and maintains student and faculty outcome data for accrediting and regulatory compliance reporting, in coordination with the support staff in the office of academic and faculty affairs. Ensures record retention policies and procedures are followed and serves as the records coordinator for all programs. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures and provide guidance in these areas for new faculty. May monitor compliance with policies and procedures.
Special Project Duties - Performs special analyses and summaries to create and implement practical, efficient solutions to accomplish program goals aligned with the College of Nursing mission and vision. Prepare reports on program activities as assigned including compiling an analysis of course reports each semester. Assists on special projects as needed for the college. Collaborate with College of Nursing staff, faculty, and administrators to meet complex program needs across multiple campuses. Serves on committees as assigned.
