PURPOSE

The Program Specialist creates purposeful interactions with students and designs individualized, student-centered educational plans that lay the foundation for student success. Provides goal-oriented advising and educational planning. Assists students in understanding academic studies, and curriculum requirements for graduation. Assists students in establishing goals for high levels of engagement toward academic progress and success.

DESCRIPTION

Functional Area 1 : Program Operations

Percent Effort : 50%

Meet with assigned caseload monthly to ensure students are on track with academic courses.

Create Individual Education Plans to set goals that meet the needs of each student.

Assist students with completing documents for FAFSA and scholarships.

Assist students with career exploration and completing applications for employment.

Assist students with finding resources for any academic / personal needs to ensure they remain on track for graduation.

Refer students to coaches and tutors as needed to receive academic assistance.

Adheres to and ensures implementation of the organization’s policies, procedures, and compliance guidelines.

Assist in the development of policies and procedures for the program(s).

Provides academic and financial aid counseling, summer internships, seminars and educational activities designed to prepare students for graduation, professional career and / or graduate school.

Functional Area 2 : Student Management and Recruitment

Percent Effort : 25%

Creates purposeful interactions with students to design individualized, student-centered educational plans that lay the foundation for student success. Accesses the academic and supportive needs of the project participants.

Creates, implements, and assesses program events such as conferences, workshops, lectures, meetings and educational cultural trips to meet clearly defined program objectives.

Assists students in addressing academic, probationary and financial concerns and connects them with appropriate support services.

Conveys implications of various policies and procedures related to academic probation and suspension, dropping courses, and satisfactory academic progress.

Provides goal-oriented academic advising to foster informed choices in students’ educational planning and career exploration.

Develops plans and publicity through various forms of communication, including social media.

Attend monthly staff meetings to provide updates on students’ academic progress and usage of student supports.

Develops innovative strategies to increase participation and retention of students

Provides high quality customer service to program participants, students, the university and the community.

Functional Area 3 : Data and Evaluation

Percent Effort : 25%

Assist with data collection, monitoring and reporting requirements related to student success. Provide reports on the progress and success of students needing special assistance. Recommend program modifications for continuous improvement of services provided to students based on data and best practices.

Maintains program files, electronic data, student records, student grades, and / or other documentation as required. Monitors academic progress, services and participation in the program.

Enter new cohort members and update existing members (class, gpa, etc.).

Create and run reports for monthly and yearly reporting.

Create and upload contact forms.

Spot-check files for accuracy and compliance. Oversees collection of data and enters data related to the program services, goals and objectives in preparation for monthly reports.

Maintains accurate participation records for the López Scholars program and activities.

Perform other duties as assigned

QUALIFICATIONS

Bachelor’s degree.

Two (2) years of related experience providing support services to youth and / or young adults.

Additional education / experience may be considered as a substitute for the minimum qualifications required :

Associate’s degree with four (4) years of related experience providing support services to youth and / or young adults. OR

Master’s degree in related field

Intermediate skills in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

Ability to travel to conferences.

Ability to work beyond normal office hours and / or on weekends.

Excellent listening, written, and verbal communication skills

Ability and willingness to work as a team member and to work independently.

Demonstrated initiative and follow-through skills; tact, diplomacy, and judgment in dealing with students, parents, faculty, and administrators.

Detail-oriented and demonstrated ability to multi-task in a fast-paced environment.

Ability to effectively collaborate and communicate with internal and external partners.

Ability to interpret local, state, and federal guidelines.

Strong interpersonal and organizational skills.

PREFERRED QUALIFICATIONS

Four (4) years of related experience providing support services to youth and / or young adults.

Texas State Certified Educator.

Coursework and / or training in best practices for increasing retention rates, GPAs, and graduation rates of disadvantaged students.

Experience working with underrepresented populations and / or with TRIO.

SALARY : Up to $51,000 / annually, approximately.

  • 4,250 / monthly.
