Individual and work group schedule determined by the TCEQ Air Monitoring Office.

HERE’S WHAT YOU’LL BE DOING
- Assist the Deputy Director, highly responsible advising on division administrative matters; coordinate schedules, appointments, meetings, and travel; coordinate work and track critical files and documents submitted for Deputy/Asst. Deputy Director review and maintain effective and professional communication with the Air Monitoring Division Section Managers and the Office of Air Executive Assistants and Office Budget Liaison. Provide general information to the public related to the Deputy Director’s Office of the Air Monitoring Division.
- Help with Human Resources and budget functions by tracking division vacancies and coordinating with OA administrative staff on postings and personnel requests, processes personnel actions and updating division organizational charts. Assist in new hire processing by managing new hire letters, badge forms and confidential personnel documents. Assist division budget analyst in tracking and managing division budget and performs other duties as assigned by Deputy/Asst. Deputy Director of the division including updates to salary enhancement plans, salary reconciliations and coordinating orders for staff apparel, name plate and business card orders.
- Coordinate, assign, and monitor often critical/sensitive correspondence and other work assignments; organize and track critical files and documents for the director's review, comments, sign-off, and responses; maintain and track records of a large volume of documents, including correspondence received from Office of Air and the Office of the Commissioners and Executive Director. Ensure professional and effective communication with these Offices.
- Provide highly responsible guidance on administrative policies and procedures and ensure they are followed by division administrative staff, answering questions regarding agency procedures, formatting, processes for phone coverage, appropriate levels of customer service, document processing, division policy on travel and time sheets, and other administrative functions.
KEY QUALIFICATIONS
- Experience providing administrative support directly to management staff
- Experience reviewing documents and ensuring quality of administrative work from others
- Experience with human resource/hiring processes
- Experience with department budget preparation and/or tracking
EDUCATION & EXPERIENCE QUALIFICATIONS
- A Bachelor’s Degree and two years of full-time experience working in an office environment.
OR
- Three years of full-time experience performing supervisory, managerial, professional or technical work which must include: analysis of work problems having an administrative aspect and interpretation of complex written material; or planning, organizing, and coordinating requirements for support services or program operations where a wide range of demands are involved, including interpretation of complex written material.
OR
- Graduation from a standard senior high school or its equivalent plus seven years of fulltime experience in an administrative capacity*.
Fifteen semester hours from an accredited college or university may be substituted for each six months of the required experience with a maximum substitution of four years.

CURRENT TCEQ EMPLOYEES
This position is also available as a lateral transfer opportunity (LTO) to TCEQ employees within the Executive Assistant II state classification. The selected candidate must meet the minimum qualifications of the corresponding job in the Executive Assistant II series.
