POSITION OVERVIEW

The Lead Dental Assistant supports the Chief Dental Assistant in execution of the business strategy, ensuring patient satisfaction, managing staff and overseeing the day-to-day operations of the back office team. They will work closely with the Chief Dental Assistant to ensure efficient workflow, maintain a positive team environment, and deliver exceptional patient care.

The Lead Dental Assistant contributes to Texas Dental and Braces continued success by passionately driving the company’s business strategy and promoting the company culture, mission and values. This role provides functional supervision for dental assistants and works as a Tier III Dental Assistant.

KEY JOB RESPONSIBILITIES

Patient Care

  • Ensures the treatment room is fully stocked, sterilized, and set up, consistently meeting C3 compliance standards to ensure operational readiness and patient safety within 15 minutes before each appointment.

  • Ensures patients are ready for dental treatment by welcoming, comforting, seating, and draping them, resulting in a 100% satisfaction rate in patient preparation and comfort within 5 minutes of the patient's arrival.

  • Collaborates with other clinical staff to maintain the cleanliness and organization of lab and treatment rooms and ensures C5 compliance.

  • Ensures all treatment consent forms are signed and on file daily upon seating the patient before starting treatment.

  • Reviews and updates all of the following with 100% accuracy in patient records in compliance with documentation standards for each patient, each day:

    • patient health history

    • personal information

  • Accurately charts all of the following with 100% accuracy in patient records in compliance with documentation standards for each patient, each day within 10 minutes after each appointment daily:

    • procedures, including patient conditions

    • medical and dental histories

    • treatment procedures

    • patient comments

    • social notes

    • any other information that wasn’t charted prior to patient appointment

  • Accurately charts all of the following with 100% compliance with C4 and C6 standards in patient records for each patient, each day within 10 minutes after each appointment daily and prior to handoff:

    • all performed procedures

    • outlines the next steps in the treatment plan

    • ensure the phasing of the treatment plan and

    • C4 and C6 standards

  • Ensure all x-rays are up to date, clear, clinically accurate, and correctly labeled, achieving 100% compliance with radiographic standards and zero delays in patient care by the start of each day’s procedures.

  • Performs coronal polishing procedures, flossing and applying fluoride as directed.

  • Reinforces treatment recommendations and educates patients on recommended procedures.

  • Maintains up-to-date periodontal charting, notifying the hygienist when needed.

  • Coordinates the office recall system with the hygienist, to ensure future appointments are scheduled before the patient leaves the operatory, 95% completion for all patients being scheduled for re-care if required.

  • Maintains accurate records of all lab cases and conducts daily quality checks on lab work as received and marks quality checked.

  • Assists the team in cleaning the office (trash, floors, restrooms, instruments, etc.).

  • Maintains patient confidentiality and protects operational integrity by ensuring the security and confidentiality of information.

  • Protects patients and staff by following infection-control policies and protocols.

  • Attend all required daily huddles and monthly team meetings unless approved by your leader.

  • Other duties as assigned by Lead RDA or Ops Leader.

Clinical Support

  • Actively participates in daily morning huddles for schedule review and ensures a smooth productive day.

  • Enters all patient documentation into the Electronic Dental Record for legal compliance, review, and Doctors’ signoff.

  • Prepares accurate, complete and professional treatment plans for procedures, scheduling, and insurance benefits coordination, scans all required paperwork into the patients’ charts.

  • Assembles instrumentation by sterilizing and delivering instruments to the treatment area, positioning instruments for dentist’s access, suctioning, and passing instruments.

  • Ensures appropriate supply of equipment and materials.

  • Ensures a safe and clean work environment by adhering to procedures, rules, and regulations.

  • Protects patients and staff by following infection-control policies and protocols.

  • Independently manages a doctor’s schedule, including surgeries, exams, and patient procedures and directs them accordingly to maximize productivity and minimize downtime.

  • Enters accurate and complete treatment plans for review and presentation by the treatment coordinator.

  • Coordinates the office recall system with the hygienist, to ensure future appointments are scheduled before the patient leaves the operatory.

  • Manages lab cases, including logging them in and out, tracking their progress, and ensuring they are completed on schedule.

  • Maintains a smooth patient workflow with the front office staff and clinical teams to promote timely and exceptional patient experience visits.

  • Assists front office staff when necessary.

  • Maintains the procedural site and anticipates chairside assisting protocols in a proficient and competent manner.

  • Maintains and sterilizes dental instruments and equipment, ensuring a clean and safe working environment.

  • Assists in general office cleaning duties, including trash disposal, floor cleaning, restroom maintenance, and instrument sterilization.

  • Assumes on-call duties as needed.

  • All other duties as assigned.

Leadership

  • Communicates developmental feedback of the dental assisting team to the Chief Dental Assistant.

  • Supports employee engagement by recognizing outstanding performance.

  • Proactively identifies and recommends process improvements to the Chief Dental Assistant.

  • Follows the clinical schedule to optimize patient flow and minimize wait times.

  • Models the company’s core values and ethical guidelines to foster a positive work environment ensuring both employee and patient satisfaction.

  • Adheres to all company policies and procedures as detailed in the Team Member Handbook and Standard Operating Procedures.

  • Communicates any policy violations to the Chief Dental Assistant in a timely, confidential manner.

  • Assists in the onboarding and training of new dental assisting staff.

  • Supports on the job training of the dental assisting staff on how to log cases, do lab scripts, boxing, preparing and quality checks.

  • Attends all required daily huddles and monthly meetings unless approved by your leader.

Inventory Management

  • Complies with dental supply inventory processes by checking stock levels, anticipating needs and monitoring expiration dates to dispose of materials accordingly.

  • Works with the management team to request dental supply needs through the appropriate requisition channels for ordering while adhering to the inventory budget.

  • Conserves dental resources by using equipment and supplies as needed to accomplish desired results.

  • Tracks inventory loaned to other offices and notifies accounting for payment transfer.

Compliance

  • Maintains OSHA standards, aseptic technique, and HIPAA according to compliance programs and regulations.

  • Abides by all PPE standards for clinical staff.

  • Practices universal precautions and proper infection control.

  • Reports any hazardous situations to front desk staff and is knowledgeable of spill containment and clean up procedures.

  • Abides by the allowable and prohibited duties for dental assistants as outlined by the state.

  • Ensures that office Safety Data Sheets (SDS) are up to date and readily available.

  • Ensures maintenance of emergency kits and first aid supplies in the office to ensure accuracy and compliance with OSHA standards.

  • Supports clinical staff assignments and logs for CDC, OSHA, HIPAA, Risk Management, and safety compliance.

  • Ensures dental equipment is operational by completing preventive maintenance, following manufacturer's instructions, troubleshooting malfunctions, and evaluating new equipment and techniques.

  • Inspects, tests and logs autoclave systems and eye wash systems. Ensure weekly monitoring of autoclave systems via spore testing and other biological testing, as designated.

  • Participates in and assists with End of Day procedures, engages in downtime protocols, and ensures completion of the daily assigned checklist.
