POSITION OVERVIEW:
The Operations Leader is ultimately responsible for executing the company’s vision and business strategy through operational excellence, people management and enhancing the patient experience. In this role the Operations Leader will cultivate a positive work culture and advocate for the highest standards of patient care. They will inspire and motivate their team by presenting a compelling strategy and direction to ensure both employee and patient satisfaction while maximizing productivity and profitability.
Key responsibilities include organizing and conducting training programs for office teams to ensure efficient and effective utilization of the company’s business, financial and clinical systems that deliver excellent patient support services. The Operations Leader will oversee daily activities, providing direction and guidance to staff. They will also identify and implement process improvements within the office to drive system and personnel efficiencies. This role requires collaboration with peers, upper leadership, providers and cross-functional teams.
WHAT YOU WILL DO:
- Exemplify and consistently role model the company’s core values.
- Ensure daily production is inline with the expected labor production target provided monthly by management.
- Review the daily, weekly and monthly KPIs by office and provider. Identify deficiencies and work with the Business Operations Leader to develop an action plan to improve KPIs focused on maximizing results.
- Assist in budget preparation and expense management activities.
- Collaborate with Marketing to develop promotional programs to attract new patients.
- Lead cross functional teams in managing operational process improvement initiatives. Leaders will work with third party vendors and their representatives as needed to prioritize these initiatives and ensure they are executed from initial planning to implementation.
- Create training plans to onboard and develop new candidates in assigned jobs.
- Provide on-the-job training to all direct reports on company initiatives and standards to ensure understanding of company direction.
- Oversee the entire employee lifecycle, including recruiting, hiring, retention, training, performance evaluations, corrective actions, and terminations.
- Provide the appropriate level of performance feedback to increase confidence and capability. Coach and hold the team accountable to performance standards and goals.
- Identify succession plans to ensure career development for all team members.
- Develop a hiring plan to meet specific needs of the business and build a network of qualified candidates.
- Respond to patient inquiries and issues and ensure patient satisfaction.
- Ensure that patient appointments, cancellations, and last-minute adjustments in the schedule are handled properly and following production time scheduling perfectly.
- Oversee payment collections from patients and contact patients for payment settlements.
- Ensure immediate (same day) completion of all employee or patient incident reports.
- Inspect to ensure that the treatment facility is maintained in a clean, safe and organized condition.
- Adhere to and enforce office policies, compliance and regulations.
- Perform timely payroll processing and maintaining employee payroll records.
- Approve timesheets for roles within assigned departments and/or facilities. Department leaders are responsible for completing and approving the final timesheet in a timely manner prior to the deadline.
- Review, approve and submit vacation, sick leave (when applicable) and unpaid leave for team members. Secure coverage for approved time off.
- Review schedule to ensure provider days stay consistent when providers have time off.
- Oversee shift-based staff scheduling to ensure full coverage.
- Manage and oversee inventory control to support cost reduction initiatives.
- Collaborate with the leadership team to implement training and education measures to address knowledge gaps and to evaluate the effectiveness of training courses and curriculum.
- Conduct and attend daily, weekly and monthly meetings with the team to maintain effective communication and coordination within the practice.
- Other duties as assigned by leadership.
COMPENSATION
$55,000 - $60,000 per year based on experience.
SCHEDULE
8 am - 5 pm Monday - Friday, and occasional Saturdays.
